Reporting to the Manager of Domestic Admissions, the incumbent is responsible for domestic admission to the College’s post-secondary diploma, certificate, degree and graduate certificate programs. The incumbent evaluates applications, foreign and domestic documents and credentials, maintains confidential files, inputs all necessary data to the College’s student information system. Keeps applicants, guidance counsellors, and parents informed about the status of an application throughout the many steps of the admission process, uses the student information system to create offer decisions, and identifies situations where there should be a halt on offers of admission to avoid over-enrolment.
Responsibilities:
Application Review
Determines applicant eligibility for admission and evaluates foreign and domestic academic credentials, standardized test results, language proficiency scores and documentation relating to residency/citizenship status.
Prepares applicant files for admission decisions, re-directs applicants to other pathways, evaluates the credibility of documents, identifies fraudulent documents, and generates admissions-related correspondence.
Determines applicants’ suitability for writing tests, ensures tuition fee due dates are maintained and fee schedules negotiated as necessary.
Interprets the data transmitted from ontariocolleges.ca (OCAS).
Monitors offers of admission, fees paid, outstanding offers and recommends changes to the program status (open, wait-listed & closed) to ensure targets will be met and not exceeded.
Front Line Services
Provides application and admission advisement to applicants, parents, counselors and faculty at all points of customer contact (in-person, letter, telephone, and email) including university transfer options.
Clarifies and differentiates programs and career fields for similar programs, explains the policies and procedures of the College and of the Ministry Colleges and Universities (MCU).
Provides, at times, advisement related to the, fee payment options including bank-to-bank, and the additional documentation that may be requirement.
Application Processing
Maintains and updates information in the student information system that will keep applicants’ electronic files current (qualifications, missing documents, secondary school subject enrolments).
Monitors the applicant electronic files and other information to ensure evaluation is against the right set of requirements and that applicants are progressing toward an admission decision.
Processes fee payments submitted at the front counter, as well as preparing and processing appropriate refunds or transfer of funds for applicants who withdraw or transfer.
Other duties as assigned by supervisor.
Qualifications:
Education
One-year certificate (or equivalent) in an office administration, general business or related program. If education is in a related field of study, state how the education is related.
Experience
Minimum of three (3) years of recent and relevant experience in a business environment, preferably in post-secondary Admissions, Registration or a related field.
Skills
Experience within a high-volume, deadline-driven, computerized customer service environment, that requires high levels of English proficiency in speaking, reading, listening and writing, in order to interpret and explain policies and procedures to clients and customer.
Understanding and experience in a workplace requiring multi-cultural considerations.
Strong attention to detail including solid analytical and investigative skills are critical.
Advanced computer skills (Microsoft Office Suite, database, word processing, CRM, spreadsheets).
Knowledge of college programs and structures of the Ontario secondary school system as well as knowledge of international credentials, credential evaluation, and detection of fraudulent documents would be an asset.
Demonstrated customer service skills with an ability to diffuse escalated situations.
