– Manage and maintain complex calendars, scheduling appointments, meetings, and travel arrangements for senior executives
– Prioritize and coordinate incoming communications (emails, phone calls, mail) to ensure efficient and timely response
– Prepare and edit correspondence, reports, presentations, and other documents as required
– Conduct research, compile data, and assist in the preparation of reports and presentations
– Coordinate and facilitate executive-level meetings, including agenda preparation, minutes, action items, and follow-up
– Prepare and submit expense reports and manage reimbursements for senior executives
– Serve as a point of contact for internal and external stakeholders, demonstrating professionalism and excellent communication skills
– Collaborate with cross-functional teams to ensure smooth coordination of projects and initiatives
– Handle highly confidential and sensitive information with discretion and professionalism
Qualifications:
– Bilingualism to communicate with partners in the USA and Europe
– At least 5 years of experience as an executive assistant, preferably in a fast-paced corporate environment
– Strong proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with calendar management tools
– Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
– Exceptional attention to detail and accuracy in all work
– Outstanding written and verbal communication skills, with the ability to effectively interact with individuals at all levels of the organization
– Proven ability to maintain strict confidentiality and handle sensitive information with discretion
– Ability to work independently, take initiative, and solve problems proactively
– Prior experience in the aerospace industry is a plus
