The main task of the Project Administrator is to support the Project Manager Execution in the planning and execution of activities on site as well as in the administrative support of projects.
Manage Sidel’s on-site business tools such as AMP (Asset Management Portal), PPP (Project Presence Planning) and Clarizen (PMTool);
Manage the planning of technicians, trainers and site managers (ISM) within a system in SAP, Field Service Management (FSM);
Manage internal and external Field Service Engineers (FSE) requests, purchase orders and invoices (in ERP systems: SAP and IFS) to be consistent with the PPP file;
Coordinate project updates with internal and external departments and maintain contact list;
Collect and distribute to the FSEs, at the time of booking, all documents necessary to the conditions of entry on the site;
Assists in the preparation of HSES (Health and Safety) plans for projects and collects required signatures prior to commencement of field activities. Collect and archive HSES plans signed by FSEs and ISMs;
Timely management of full FSE/ISM invitation letters and VISA follow-up, such as validity and renewal;
Ensure risk control security measures for countries at risk level 2 and 3, where appropriate;
Actively participate in supporting logistical and administrative tasks throughout the project.
Track and resolve non-conformances on site in the Sidel Non-Conformity Resolution Opportunities (SINCRO) tool;
Lead any related tasks in support of the Project Execution Manager and/or Site Manager.
Your profile
Have a secondary school certificate (GED) or equivalent;
Technical, college and/or post-college education and any relevant work experience (asset)
Experience in managing site activities and in a project environment;
Experience in the beverage packaging or packaging line industry (asset);
Knowledge of Sidel product portfolio (asset);
Good ability to navigate and operate ERP systems including SAP (knowledge of IFS is an asset);
Good command of the Microsoft Office Suite;
Good ability to manage time and priorities;
Be open to occasional travel as part of their duties;
Good knowledge of English and French, both oral and written (Spanish is an asset).
