POSITION SUMMARY:
This position supports a diverse range of activities within the Kidney Urinary Programs. It serves as a liaison with other departmental managers, hospital staff and outside agencies, and ensures that all administrative support activities for the Nursing and Technical Unit Managers are coordinated with efficiency, professionalism and confidentiality.
QUALIFICATIONS:
- Grade 12 diploma plus 2-year college diploma in office administration or business studies
- 2 years experience in a fast paced hospital setting
- Medical terminology certificate.
- Advanced proficiency with a variety of computer applications and equipment: MSWord, MSExcel, MSAccess, MSPowerpoint, internet, Adobe Acrobat, e-mail, patient and finance information systems (HBO).
- Intermediate skill level is required for typing speed, and excellent dictation skills.
- Ability to perform mathematical calculations, statistical analysis and financial reconciliations.
- Maintain exellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions.
- Superior oral and written communication skills with demonstrated grammatical aptitude, good spelling and punctuation.
- Good organizational and problem-solving skills, with ability to set own priorities and work with minimal supervision.
RESPONSIBILITIES:
- Provides support for Nursing and Technical Unit Managers by handling incoming mail, phone calls, faxes, e-mails, composing correspondence and filing in an efficient and professional manner, resolving issues or referring as required.
- Utilizes appropriate software programs or computer applications to maintain numerous databases and produce correspondence, administrative reports, statistical data, presentation materials, complex forms and tables.
- Compiles and reports activity for all dialysis and transplant related units and treatments, collecting, compiling and distributing statistics on a monthly basis.
- Coordinates purchases and speciality supplies for nursing and technical areas.
- Supplies program information and/or direction for program activities to patients, staff and community agencies.
- Provides support for various financial processes i.e. budget preparation, capital and minor equipment quotes/reports, home patient invoices, expense deduction letters for dialysis patients, etc.
- Arranges and attends meetings and records, transcribes and distributes minutes and agenda items in a timely manner.
- Maintains nursing and technical policies and procedures, patient and staff forms, current departmental lists, program documents, call-in sheets, assignment sheets, staff education manuals, and the status of pre-grad licences and re-certifications.
- Coordinates and/or schedules interviews and reference checks, and orientation activities and materials for new staff members. Also coordinates and schedules students and preceptors.
- Prepares and posts master schedules as they apply to day-to-day program staffing and agency staffing needs of a specific program.
- Meets deadlines in assisting with special projects, surveys, preparing a variety of reports and arranging ad hoc meetings.
- Assists with other unit activities as delegated by the Nurse and Technical Unit Manager.

WAGE RATE:
Hourly: $27.11… $28.30… $29.49 (plus 14% in lieu of benefits)
