Healthcare Clinic Front Office Administration

Job Purpose:
To facilitate the crucial goal of our patient’s healthcare success that only a great office administrator can provide through excellent training, strong support and a fun collaborative culture with proven systems. This goal is achieved by working as a team to provide the highest level of patient experience, treatment plan scheduling, patient flow/process efficiency and supporting general clinic and practitioner performance.

This position is a part-time position. Shifts include Tues – Sat AM and PM shifts
Position Description:
-General Administration, Organization and Operation Systems Management
-Online, Telephone and In-Person Customer Service
-Friendly First Face and Voice of the company
-Online and Telephone Patient Bookings
-Practitioner Scheduling and Schedule Management
-Practitioner Practice Management
-Patient Experience Management
-Payment Processing Re: Point of Sale, Direct Insurance, Third Party Billing etc
-Assist with Supplies and Inventory Management
-Assist with Retail and Orthopedic Products
-Inter-Office Communication with Referral Sources, Suppliers, Insurers etc
-Answer multi-line phone system and take appointments or direct calls to the appropriate party
-Greet patients when they arrive at the office and provide them with any necessary paperwork or other information
-Collect co-pays and other fees required prior to the office visit or treatment
-Direct patients to the lab area for scheduled blood work and other testing
-Verify insurance coverage and assist the billing department with processing claims
-Schedule appointments and confirm appointments two days in advance
-Assist patients with re-scheduling appointments and other scheduling issues
-Communicate test results to patients when directed by physicians or nursing professionals
-Inform patients of credit card declines and other billing issues
Necessary Skills and Attributes
Essential:
High School Diploma/GED 12
Tertiary Qualifications

Relevant clinical and/or customer service experience

Medical Office Assistant Diploma program
Experience in a similar role
Experience working with similar customers
Experience using Clinic Billing/Scheduling Software (Clinic Master/ Osler or other)
Prefer being busy, have the day go fast and feeling accomplished and fulfilled at the end of the day
