DUTIES
1. Purpose of Position
To assist in the operation of the Government Warehouse and Distribution and Operations, by picking, verifying, packing and shipping regular and emergency orders; receiving, inspecting, identifying and recording incoming inventory and returns; participating in inventory control; providing information to resolve customer service inquiries; and keeping the warehouse clean and hazard-free.
To comply with the zero-error standard for order-filling to prevent potentially dangerous medical situations and additional processing costs; comply with health and safety regulations to reduce accidents and injuries in a potentially hazardous environment.
This position is an essential service.
2. Duties and Responsibility
Perform order sorting, filling, checking, shipping, and receiving duties as assigned by management. Warehouse Clerk is expected to be able to perform all duties and move through rotation of duties and responsibilities.
Fill orders according to established procedures
– Determine daily order count, sort orders by drug type, match packing and order slips and balance workload equally for pickers.
– Prioritize orders by date, picking sequence and delivery method.
– Pick orders from slot, carousel or skids and ensure catalogue number, quantity, lot number, product strength, number of products per pack and product size match order slip or computer monitor; inspect condition of product to ensure there are no defects; and update Nova system in CAMMS (Computer Assisted Materials Management System).
– Park full cart in staging area to be checked for accuracy by another worker; if errors found, replace with correct product, and have checker verify order is now correct.
– Merge orders from slot, carousel or skids and determine number and size of boxes required, pack according to established procedures to ensure safe and secure delivery; follow packaging requirements for special programs or products (such as HIV kits).
– Key information into CAMMS to generate correct number of labels, verify information is correct; affix labels on boxes, extract weight of boxes from packing slips and write on lead box and attach packing slip.
– Load order onto cart and deliver to designated shipping area.
– Verify packing slip with computer records, update CAMMS to confirm order is picked and ready to ship.
– If there is not sufficient stock, check with Bulk Warehouse Clerk to determine if stock depleted or is in different location; once order is filled, enter order information into CAMMS to produce exception report and forward to Assistant Manager or Bulk Warehouse Clerk; advise Customer Service of details of change in order.
– If there are concerns about product condition, lot numbers, product nearing expiry date, mismatches between picking order and location, or quantity ordered is outside of usual range, advise Assistant Manager or Manager and follow their direction.
– In emergencies, if on call, come into warehouse and fill and pack orders after hours.
Check orders for accuracy
– Receive order from picker, confirm order number and invoice match, check each piece against order slip and verify right quantity of boxes and content.
– If mistakes found, send back to picker for correction and correct entry in CAMMS; otherwise check off form.
Ship orders according to established procedures
– Assess if order should go by OGPMSS driver or with Canpar based on ambient temperature, route, weight, shipping date and urgency of order; update CAMMS with shipper information and create waybill and labels.
– Put order on skid and move to proper zone.
– If order will be delivered by OGPMSS driver, confirm shipping dates and prioritize orders, run manifests, help drivers compare order to manifest and investigate discrepancies.
– If order being shipped by Canpar, enter shipping information into Canpar system to confirm order is complete and shipping status, generate Canpar label, affix to appropriate size box and verify order is correct; palletize skids ensuring skid does not exceed size stipulated by customer; put skid on electrical wrapper, wrap skid and take to zone/staging for Canpar shipping; tabulate what was shipped.
– Make adjustments to CAMMS, if order was originally scheduled for delivery by OGPMSS driver and was changed to Canpar.
– Set and configure temperature monitors on vaccine packages before loading onto OGPMSS and Air shipment trucks.
– Load truck, sometimes using fork trucks, and follow driver’s directions regarding sequence of loading.

– If order is being picked up by a doctor, receive notification from Customer Service, create manifest and verify it is correct; if order requires controlled temperature, prepare cooler.and place order in special holding area.
– When OGPMSS drivers return, run manifests for drivers; verify manifests and temperature print outs for vaccines; check gas receipts against drivers’ reports, sign off receipts and file for auditors; file truck inspections and maintenance done, review with manager and accountants and file for audit purposes.
Receive orders according to established procedures
– If order is vaccines, remove product from truck or dock and move goods to staging areas in bio-cooler; check seals are unbroken; review temperature readout and determine if cold chain was maintained within acceptable temperature range; if outside of range or temperature cannot be confirmed, quarantine product and report findings to Assistant Manager; if cold chain was maintained, put vaccine inventory in cold storage and inspect product for damages and expiry dates; sign order receipt.
– For other items, take skids off trailer, stage by lot numbers and prioritize order it will go into stock; check skids for damaged goods and expiry dates and check shipment against waybill; ensure skid is safe and meets OGPMSS requirements for storing in warehouse before signing order receipt; inform Assistant Manager immediately of shortages or damage to product.
Assist with customer service inquiries and returns
– If quantity discrepancy and customer signed order, fax signed copy to customer; manually count inventory and reconcile with computer count and if no discrepancy, advise customer to re-check order; otherwise adjust order and update CAMMS.
– If wrong lot number or product number shipped, ask product be returned; when product returned, confirm lot number, expiry date and dosage with original shipping order to confirm that return is original product sent and return to inventory and update CAMMS, return to manufacturer or quarantine; process credits for customer. If return was not originally shipped by OGPMSS, advise Assistant Manager.
– If product lost or broken, investigate and file insurance claim for broken products.
– If vaccine, print temperature report and if there was a break in cold chain, advise Assistant Manager.
– If recall from manufacturer, review inventory to find lot number, remove from shelves or isolate in bio-cooler and halt shipping until clearance received from Assistant Manager.
Assist with inventory control
– Perform regular cycle counts to verify quantities.
– Participate in year-end inventory: Receive blank count from system print-out; manually count product, noting if quantities, lot no., location and expiry dates are correct; if counts do not match system, request other worker perform recount; if discrepancies still exist, investigate cause and report to management; update system if required. Data enter into CAMMS and access CAMMS to view product descriptions and inventory status.
Assist with keeping warehouse clean and hazard-free
– Pack up carts, break boxes, pick-up splinters from skids, sweep floors, clean spills and hazardous material, and report infestations and need for repairs.
– Investigate when bio cooler alarm goes off and advise management.
Performs other duties as assigned
– Perform minor preventative maintenance on equipment such as checking battery and connecting battery charger on heavy equipment. Prior to shift, inspect equipment being used and maintain daily and yearly records.
– Rotate through duties of picking, checking, shipping, and receiving.
– Deliver emergency orders to airport or doctors’ offices.
– Staff are expected to be trained to provide back up for Biological Clerk.
3. Staff & Licensing
– Valid forklift or reach lift truck certificate.
4. Knowledge
– Follow OGPMSS practices and procedures for handling pharmaceutical and medical supplies when picking, packing, shipping, and receiving orders and processing incoming shipments.
– Product knowledge of inventory to pick, check, pack, and label orders correctly.
– Apply WHMIS, HazMat, and spills training to keep warehouse safe and avoid injuries.
– Have basic knowledge to inspect and do routine maintenance on forklifts, reach lift trucks and pump trucks.
– Operating knowledge of 360 carousel system and CAMMS (Computer Assisted Materials Management System) or other inventory management systems. Some knowledge of IFIS required for entering drivers’ receipts.
5. Skills
– Previous warehouse experience.
– Able to walk and stand for extended periods and able to lift individual boxes in excess of 25 kilograms
– Able to follow written and oral instructions and adhere to OGPMSS practices and procedures.
– Able to prioritize work and give time-sensitive orders priority.
– Operate forklifts, reach lift trucks, and pump trucks safely, according to Ministry requirements.
– Must pay close attention to detail to match picking with order slips or monitor (catalogue number, quantity, lot number, product strength, number of products per pack and product size), check product condition and expiry dates, and maintain zero error rate.
– Able to operate CAMMS and carousel correctly and perform data entry.
– Able to work effectively with others.
6. Freedom of Action
– Job requires working in accordance with OGPMSS practices and procedures.
– Job requires referring situations not covered by OGPMSS practices and procedures to Assistant Manager.
– Job is subject to review and monitoring by Assistant Manager.
– Can prioritize orders and determine best way to pick and pack orders.
– Can suggest ways to improve use of CAMMS and carousel.
– If order does not match usual quantities for a customer, can ask customer service to verify order and avoid handling returns.
