Tectonica Management Inc – Administrator (Construction Contract Management)
The Position
Tectonica Management Inc. is looking for a highly motivated, detail oriented individual to join our Administrative Team. The position is a full-time role as a construction contract administrator with other general administration duties. The position involves a variety of responsibilities but focuses on assisting project and construction managers in preparing construction contracts, contract management during construction, review and coding of contract invoices and construction budget assistance. The role will also involve continued development and refinement of systems to help improve accuracy and efficiency.
Our team includes 2 full-time project managers and 3 construction managers who will support this new position to provide mentoring for continued growth. Accuracy, organization, and the ability to work both independently and collaboratively will be critical skills for this role.

- Work closely with project managers and construction managers to manage contracts, invoices and other aspects of multiple concurrent construction projects;
- Prepare multiple forms of construction contracts
- Prepare change documents with support of construction managers
- Follow up to ensure contract documents are fully signed and distributed
- Manage substantial completion and Statutory Holdback documentation
- Review and pre-coding of contract invoices prior to review by construction manager
- Assist in managing construction budgets when requested
- Prepare operation and maintenance manuals for completed projects
- Participate in meetings and prepare meeting notes when requested
- Other administration tasks as required
Knowledge, Skills And Abilities
- Knowledge of construction contract law
- Skills in writing and interpreting contractual agreements
- Proficiency in both verbal and written communication
- Excellent organizational skills, ability to maintain accuracy and attention to details
- Strong initiative, work ethics and integrity
- Strong communication skills
Qualifications
- Minimum of 3 years’ experience in local construction contract administration or financial administration role
- Post secondary courses in contract administration and construction law an asset
- Skills in writing and interpreting contractual agreements
- Proficiency in Microsoft Office (Word, Excel & Outlook)
- Ability to quickly learn new software programs
- Strong work ethic and integrity
- Ability to coordinate tasks efficiently and effectively, and manage multiple concurrent priorities to meet deadlines
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to work independently and collaboratively
