The Opportunity

The Administrative Assistant facilitates the day-to-day operation of the Engineering and Public Works

department through effective communication and records management and through development and

administration of efficient work processes. This role will provide administrative support to the Commissioner,

EPW.

scheduling for the Commissioner and

Department Directors

• Prepare preliminary and draft Committee

and Council agendas and reports for the

Commissioner

• Provide functional oversight of administrative

functions and procedures within the Engineering

& Public Works Department

• Graduation from a 3 (three) year community

college program related to the position

requirements, or equivalent

• Three to four years of progressively

responsible related experience

• Demonstrated ability to independently

problem-solve and proven ability to

accomplish performance goals

What we are offering

This is a Temporary Full-time opportunity at the District for up to twelve (12) months. The annualized

SUMMARY:
Provides administrative support to the Commissioner, Engineering & Public Works (EPW). Facilitates the day-to-day

operation of the department through effective communication and records management and through development

and administration of efficient work processes.

MAJOR RESPONSIBILITIES (not limited to):

• Provide a comprehensive range of administrative support and coordination of departmental matters for the

Commissioner

• Provide confidential correspondence and scheduling for the Commissioner and Department Directors
• Prepare preliminary and draft Committee and Council agendas and reports for the Commissioner

o Research, compile data and prepare Committee reports, correspondence, policies and procedures

o Review, edit, prepare, distribute, and coordinate meeting agendas and minutes including meetings of the

Engineering & Public Works Committee, special purpose committees, departmental meetings and meetings

with various external parties and stakeholder groups.

o Create and maintain assigned work projects such as major documents, databases and special reports.

• Provide functional oversight of administrative functions and procedures within the Engineering & Public Works

Department

• Maintain the departmental files and record keeping systems to corporate standards including electronic files, scanning,

records retention, financial, personnel and other confidential files.

• Lead the review of administration projects and processes as assigned and implement change.

o Implement and communicate District policies and procedures including special projects and events.

o Review operating practices and procedures in order to determine opportunities for improvements in

workflow.

• Coordinate the maintenance of EPW pages on the District’s intranet and website.
• Coordinate the development and maintenance of departmental business continuity plans in consultation with the

CEMC, Commissioners and Directors.

• Communicate regularly with the public via phone, email and in person.
• Communicate and act as a liaison with other District departments, members of Council, members of other

Committees, provincial and federal ministries, and other agencies and related organizations.

• Work safely and in compliance with relevant statutes and regulations and within the safe work procedures and

directives as established by the District.

• Related duties as assigned.

EDUCATION, EXPERIENCE & QUALIFICATIONS:

• Graduation from a 3 (three) year community college program related to the position requirements, or

equivalent.

• Three to four years of progressively responsible related experience.
• Demonstrated ability to independently problem-solve and proven ability to accomplish performance goals.
• Demonstrated technological proficiency and highly developed organizational, analytical, communication and

inter-personal skills with the ability to cope with competing demands and multiple tasks.

• Excellent ability to attend to details and be tactful to handle sensitive situations with ease.
• Ability to travel throughout Muskoka for work-related purposes.
