Summary:

We are seeking a highly organized and detail-oriented Processing and Client Service Specialist to join our Investments and Life Insurance team. Reporting to the Manager of Investments and Life Insurance, you will play a pivotal role in ensuring efficient processing of various tasks related to applications, transactions, and client inquiries. Your primary responsibility will be to act as a liaison between advisors, assistants, and insurance carriers, ensuring clear and effective communication. The ideal candidate should be service-oriented, possess excellent time management skills, and have a proven background in the insurance/financial services industry.

Responsibilities:

Processing:

• Efficiently process electronic emailed or paper applications, death claims, and transaction trades, forwarding all documents to respective insurance carriers via email, fax, or courier.
• Handle transfer forms, sending them to receiving and relinquishing insurance carriers using appropriate communication channels.
• Manage NIGO notices, forwarding them to advisors/assistants and coordinating the receipt of necessary corrections for forwarding to insurance carriers.
• Set up new clients and accounts on the WealthServ system, ensuring accurate uploading of relevant documents.
• Process emailed E-applications/documents from insurance carriers, setting up clients and accounts, and forwarding transfer forms as needed.
• Extract and process E-application documents from carrier websites lacking emailed attachments.

Client Service:

• Act as a reliable liaison between advisors, assistants, and insurance carriers, promptly addressing questions, concerns, and follow-ups on processing-related documents.
• Assist advisors/assistants with the correct utilization of forms, procedures for completion, and submission requirements.
• Proactively contact insurance carriers to resolve inquiries, obtain forms, statements, tax receipts, and follow up on corrections and procedures.
• Provide advisors/assistants with essential contact information for insurance carriers.
• Offer assistance with Repvision usage, enabling advisors/assistants to view clients, documents, commission statements, and generate reports.
• Handle incoming calls through reception and direct them to the appropriate department/team member as required.

Administration:

• Maintain organized folders for daily scans and NIGO notices, ensuring seamless processing and uploading.
• Upload client statements from insurance carrier websites as requested by advisors/assistants.
• Prepare commission statements and reports for advisors/assistants.
• Manage digital copies and/or order paper copies of insurance carrier applications/forms, maintaining up-to-date files accessible to team members and advisors/assistants upon request.
• Provide and manage log-in credentials for advisors, assistants, clients, and staff for various systems, including BlueSun Advisor, Repvision, Clientvision, Broker Management, and Wealthserv Investments Back Office.
• Assist with log-in password resets for advisors, assistants, clients, and staff when required.

Qualifications:

• Bachelor’s degree or equivalent experience in the insurance/financial services industry.
• Knowledge of Office 365 suite
• Proven experience in customer service and processing-related tasks.
• Familiarity with back office systems, particularly WealthServ, is advantageous.
• Excellent verbal and written communication skills.
• Strong attention to detail and time management abilities.
• Bilingual in French and English is a plus.
