What is the Opportunity?
The Manager, Student Services is responsible for the administration, logistics, and communications to ensure successful execution and delivery of school programs and special initiatives. This role’s primary areas of focus are student engagement and retention, program quality, and customer service relations. This role collaborates with and supports the Programs Manager in the planning and coordination of programs where required.
Main Duties & Responsibilities
Program Management
Manages student placement process, ensures students are attending classes.
Manages student appeals process.
Coordinates student events and performances.
Coordinates opportunities for student assessment, including simulated examinations and performance evaluations.
Manages adjudicators and accompanists for performances and assessments as required.
Working with the Programs Manager, develops and executes all elements of adult enrichment programs.
Coordinates student access to RCM Digital Learning tools.
Coordinates Advanced Diploma in Early Childhood Music Education program.
Coordinates Additional Qualifications course administration.
Camps Management
Workings with the Programs Coordinator, manages the execution and implementation of logistics of day camps.
Preparation of Canada Summer Jobs grant application.
Oversees day camps staffing.
Supports day camps faculty.
Communications
Maintains and updates student resources (e.g. Handbooks, Student Portal, calendars).
Supports all Student and Programs communications (e.g. e-blasts, notices, special events, donations, online and physical bulletin board content, newsletters).
Engagement
Coordinates student performance opportunities with faculty and provides administrative support for Studio Recitals as the year-end performance opportunity for students in the Music Enrichment Program.
Identifies students for special programming and performance opportunities within and outside the school.
Coordinates student and faculty orientation events and meetings.
Hosts student recitals and events as required.
Executes annual student satisfaction surveys.
Staff Management
Working in tandem with the Registration & Service Desk Manager, oversees and directs the daily workflow including ongoing projects and makes necessary adjustments to priorities of the front desk staff (Student Services Representatives) and all aspects of customer service to ensure efficient, helpful, and courteous customer service.
Oversees camps staffing and hiring process.
Recruits, engages, and retains qualified employees.
Manages and evaluates performance; provides training and coaching as required.
Provides a safe and healthy work environment and ensures work is completed in compliance with the Occupational Health & Safety Act and its regulations and the RCM’s policies.
Performing other duties as required.
Job Requirements
What We’re Looking For
Bachelor’s degree in a related field plus 3-5 years of progressive experience ideally in an academic setting, or an equivalent combination of education and experience.
Knowledge of the music profession and/or an understanding of the standards and content associated with the Royal Conservatory system of music education.
Demonstrated strength in project management including the ability to execute with great accuracy and attention to detail.
Excellent customer service skills coupled with a positive attitude.
Experience in camps administration would be considered an asset.
Highly organized and detail-oriented, effectively manages competing priorities and deadlines.
Exceptional communication skills (verbal and written) with internal and external stakeholders at all levels.
High degree of initiative, ability to solve problems and improve processes.
Sound judgment, tact, diplomacy, integrity, professionalism, and confidentiality.
Positive attitude and ability to work both independently and in a collaborative team environment.
Well-honed interpersonal and relationship building skills.
Experience with Microsoft suite (Word, Excel, PowerPoint).
Experience with Moodle would be considered an asset.
Additional Information
The RCM currently observes a hybrid working arrangement.
Upon the resumption of in-person learning, availability to work weekends will be required.
Attendance at external or internal events outside of working hours may be required.
