Job Summary
The Governance Coordinator supports the onboarding and orientation processes for new governors and the ongoing professional development of governors. The position provides executive-level support to the Chancellor and is the key point of contact for members of the university community and the broader public who may wish to contact the Chancellor. The position requires an extensive knowledge of university governance practice and university policies and procedures; excellent communication skills, both written and verbal; and the ability to work independently and exercise excellent judgment. The position handles highly confidential information. The incumbent fosters effective working relationships with various UBC departments. A clear understanding of the goals of the Board Secretariat is essential.
Organizational Status
Reports to the Board Secretary/Director of the Secretariat Office. The position liaises with the Board Chair, Chancellor, governors, the Office of the President, Offices of the Vice-Presidents, Managing Directors and their support staffs.
The Board Secretary reports to the Chair of the Board of Governors and to the President of the University. Under the Secretary’s leadership, the Board of Governors Secretariat Office is responsible for managing the meeting processes for the Board of Governors, and the organization and administration of Board and University governance records, including governance compliance matters.
The Board of Governors is responsible for the management, administration and control of the property, revenue, business, and affairs of the University (Vancouver and Okanagan campuses), including the appointment of the President and senior administrative positions.
The Board Secretariat Office is also responsible for providing support to the Chancellor of the University. A prestigious voluntary role, the Chancellor is the titular head of the University and presides over graduation ceremonies; attends a variety of ceremonial events and is a member of the Board of Governors and the Senates.

Consequence of Error/Judgement
The Board of Governors Secretariat Office is a fast-paced environment, with competing and shifting priorities. A high level of independent judgment is required in a complex, confidential governance environment.
Work is often completed within tight deadlines, requiring the incumbent to work under pressure.
Errors in execution or judgment could have serious impact on the operations of the Board and the University, or damage the reputation of the University and/or the Chancellor.
Tact and sensitivity to both internal and external issues impacting the University is required in all activities.
Supervision Received
This positions receives direction from and reports to the Board Secretary/Director of the Secretariat Office. Works closely with other members of the Board Secretariat Office; the Governance Officer may assign work.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.
