Job Summary
UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community. The Integrated Renewal Program (IRP) is currently focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student. The Integrated Renewal Program-Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty. This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making. IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform. The Training Specialist, Workday Student is responsible for designing, delivering and managing specific/tailored training-related guides and materials to faculty and staff within the Faculty of Education that will be readily accessible/available. In addition, workshops, small group and 1:1 training sessions for Faculty and Staff, as well as on-demand training need to be available such that Faculty and Staff have a readily accessible training/support resource within the Faculty. The successful transition to Workday Student will involve significant training/re-training and knowledge dissemination/management as the work will involve diverse academic programs, each with unique identities, values, and sizes with long standing practices based on pedagogical objectives/educational mission. Significant prep work with respect to training will be required to bring the Faculty of Education into alignment for the transition to Workday due to the complexity of the Faculty of Education degree paths: 11-month BEd program, approximately 27 diploma and certificates, NITEP, WKTEP, Rural and Remote Education, as well as MET and numerous graduate programs.
This position will work in collaboration with IRP Student to design, develop, deliver and manage specific/tailored training-related guides and materials to faculty and staff within the Faculty of Education.
Organizational Status
The Training Specialist, Workday Student reports to the Project Manager, Workday Student. This role requires regular cross functional collaboration. The position will work closely with a broad range of stakeholders, including faculty and staff within the Faculty of Education. This position will work in collaboration with IRP Student to design, develop, deliver and manage specific/tailored training-related guides and materials to faculty and staff within the Faculty of Education.
Work Performed
Consequence of Error/Judgement
This project will touch the entire Faculty of Education and thus has a high consequence of error with a negative impact to the whole organization. The transition to Workday Student entails/requires significant operational retraining and business processes/workflows changes as the functionalities and capabilities of Workday Student are not a 1:1 match/corollary with the existing SIS. The successful transition to Workday Student will involve significant specific/tailored training and knowledge dissemination as the work will involve diverse academic programs, each with unique identities, values, and sizes with long standing practices based on pedagogical objectives/educational mission. Significant preparation will be required to bring the Faculty into alignment for transition to Workday due to the complexity of the Faculty of Education degree paths: 11-month BEd, approximately 27 diploma and certificates, NITEP, WKTEP, Rural and Remote Education, as well as MET and numerous graduate programs.
Inability to establish effective training and knowledge dissemination and management could have an extremely negative impact on Program completion and adoption. Failure to effectively perform in this role would negatively impact the Faculty of Education’s ability to achieve its strategic goals in this area and to implement the new system for students in a timely manner.
Supervision Received
This position reports to the Project Manager, Workday Student.
Supervision Given
In general, provides training and education to other staff and stakeholders on demonstrated areas of expertise. May supervise staff or student staff.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.
