The Physician Learning Program in the Office of Continuing Medical Education in the Cumming School of Medicine invites applications for a Health Care Project Manager. This Full-time Fixed Term position is for approximately 10 months (based on length of grant funding), with the possibility of extension.
The Physician Learning Program (PLP) is an innovative and unique Alberta program that was established late in 2009 as a conjoint University of Calgary and University of Alberta program in order that Alberta physicians can:
Obtain, reflect upon and use individualized practice-based information in order to self-assess and improve clinical work through access to clinical data from health services databases (e.g., patient and billing sources)
Identify and access learning activities and resources to support learning in areas identified by the practice assessment.
Reporting to the Manager, Calgary, Physician Learning Program (PLP), project manager will be responsible for the management of projects within the PLP Program (www.albertaplp.ca). Project managers will execute and monitor processes of project management including the initiation, design/planning, and closing phases of projects.
While the number of projects managed will vary depending on complexity and timelines, it is anticipated that project managers will be responsible for work associated with 3-6 projects.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
Work with the Manager, Physician Co-Lead and/or Associate Dean develop and carry out projects
Assist in obtaining, preparing, writing and compiling documents and other materials for physicians and educators on committees, PLP Steering Committee and Ethics
Ensure that the projects are handled in an efficient, effective, and timely manner
Conduct and/or manage the evaluation and its reporting
Work with the Medical Director and PLP Team to engage primary care and specialty physician groups to develop and support PLP projects
Managing and supporting project planning working groups ensuring that physician and other committee members can contribute effectively and efficiently to project development, execution, completion and evaluation. This will require the writing and preparation of meeting material; supervising meeting management work (contact with committee members, venue management, disclosure statements) and meeting follow-up work (including minutes and tracking actions)
Writing and compiling materials required for the projects including draft proposals for Joint Universities Committee, the provincial Steering Committee, and Ethics; physician data reports; monthly progress reports and other reports as needed for the Steering Committee, AMA, CME & PD and others
Monitoring and controlling projects through planning, execution and closing phases for risk, quality, scope and resources
Develop project protocols to obtain and secure the data required for physician feedback and improvement
Develop the reports for physician feedback; and developing evaluation tools to assess the impact of the project on physician performance
Identify educational and other resources to support physician learning following feedback
Initiate and create systems for effective and efficient project operation to ensure physician recruitment; appropriate and useful data reports to physicians; and timely information/data to physicians for projects as required for project execution
Identify operational issues that inhibit the optimal functioning of the project
Identify project status inconsistencies, risks and change requests
Establish and maintain quality controls for all project documentation
Managing archives of project documentation
Review and maintain project information on using MS Teams
Utilize project management tools to monitor projects and reports for PLP Leadership
Ensure the smooth operation and execution of the project and, when applicable, resolving problems effectively, ensuring high levels of service excellence
Support the Executive Director and Physician Co-Lead in achieving the goals of the PLP Program
Compose routine correspondence; prepare notices and other project materials
Maintain professionalism in all interactions being aware of the nature of the complex, multi-stakeholder environment in which this position works within
Qualifications / Requirements:
Post secondary undergraduate degree in a medical related field, ie medicine, nursing or pharmacy, etc
Certificate or training in project management (PMP) preferred
Health Care Project management experience in tertiary care and preferred experience in Critical Care (5 years)
Experience in knowledge translation and medical educational design would be an asset
Equivalencies of education and experience may be considered
Ability to plan and lead concurrent projects
Excellent written and verbal communication skills
Strong interpersonal and relationship management skills
Strong problem solving skills
