Position: Parks and Recreation Clerk

Salary: Level 4 (36,638-44,537)
Summary:
Reporting to the Department Manager, the Parks and Recreation Clerk is a full-time position that serves as the primary administrative customer contact for the Parks and Recreation Department. This position will provide regular customer service over the phone and in person and carries out a variety of office and clerical support duties such as: registration processing, booking of facilities, completing deposits, maintaining records, accounts payable entry, coding and inputting invoices, website and social media posting, reconciliations of sales between book king and Sage, and weekly accounting entries for facilities. It also ensures compliance with process and procedure for the financial information.
Duties and Responsibilities:
§ Perform administrative and clerical duties for the Parks and Recreation Department.
§ Provide back-up support to the front desk Clerk.
§ Includes processing registrations, preparing agendas, recording minutes.
§ Receive payment and issue receipts for recreation payments, facility bookings, etc.
§ Responsible for all aspects of booking and scheduling Town buildings.
§ Assist with the design, development and delivery of promotional materials.
§ Promote events and programs though social media platforms.
§ Set up quarterly programming information into Book King system.
§ Complete weekly reconciliations between Book King and Sage.
§ Ensure weekly information is provided from facilities for entry into Sage.
§ Prepare, update and access reports and information as required.
§ Equipment and supplies purchases.
§ Code and track invoicing and purchases for the Department.
§ Prepare bank deposits.
§ Assist in maintaining an orderly and comprehensive filing system.
§ Ensure financial processes and procedures are being followed for Recreation programming and services.
§ Entry of Accounts Payable invoices.
§ Perform other such related duties, responsibilities and functions as may be assigned.
Knowledge, Abilities and Skills:
§ Computer proficiency in MS Office (Word, Excel, Outlook).
§ Previous experience in registration / scheduling software is an asset.
§ Thorough knowledge of administrative/clerical practices and procedures.
§ Ability to establish and maintain effective working relationships with fellow employees and general public.
§ Ability to express ideas effectively, both orally and in writing.
§ Ensure an environment that provides excellent customer service in the community.
Education and Experience:
§ Post-Secondary Program in Office Administration, Event & Recreation Management, Business Administration, or related field is preferred. Demonstrated equivalences will be considered.
§ 2 – 3 years’ experience in a relevant setting.
§ Experience working with diverse community groups.
§ Ability to work collaboratively with volunteers and internal and external contacts.
§ Current standard level First Aid, CPR.
§ Valid Class 5 driver’s license.
§ Must have access to and use of a reliable vehicle (mileage will be compensated).
§ Current acceptable criminal and vulnerable person’s police reference check required upon hire.
