United Way British Columbia Looking for Project Assistant at Burnaby, BC Full Time

JOB PURPOSE

This position assists in research, planning, information management, and web development of projects supervised by the Provincial Coordinator, Community Engagement. The successful candidate will manage a complex calendar and execute small projects, and ensure funding deliverables are met as it relates to United Way’s community engagement work. As such, the successful candidate will be adept at supporting a remote/ traveling supervisor and ensuring work is done with limited guidance. The Project Assistant provides excellent customer service, both internally and externally.

DUTIES & RESPONSIBILITIES:

• Responsible for providing administrative support, including arrangement of meetings and appointments, composition of routine correspondence, photocopying, scanning, and preparation of written materials
• Coordinates events, such as Regional Consultations, workshops, meetings, and webinars, including planning, execution, and all related tasks
• Performs timely and accurate content management of CBSS knowledge hub (CORE), ensuring CORE can be relied on as a primary source for information, including: monitoring and responding to general enquiries; screening and uploading submitted documents; identifying and uploading new relevant documents, resources, news, and events; removing documents, news, events, and links no longer current or relevant; monitoring Group discussions to ensure relevance, currency, appropriateness
• Maintains database and records of contacts, CORE Groups (Provincial Working Groups, CBSS Leadership Council, Provincial Reference Group, Municipal Caucus, Funders’ Table)
• Creates and maintains standard documents, spreadsheets, presentations, and databases using a variety of software programs and online data retrieval
• Coordinates and participates in the production of various materials, such as presentations, newsletters, workshop hand-outs, tools, and resources
• Sources, writes, and/or edits articles, features, and other information items for CORE platforms and e-news.
• Works with UWBC IT staff and IT contractors to ensure ongoing CORE site updating, maintenance, security, hosting, and other key activities related to the effective technical functioning of the platform

General

• Participates on Community Project Team(s)
• Performs other duties related to the qualifications and requirements of the job

QUALIFICATIONS & REQUIREMENTS:

Education:

• Two year diploma program, supplemented by business and technology courses

Experience:

• Minimum three years experience providing high level administrative and tech support.
• Experience in website development and content management
• Experience with researching program information and resources and ability to locate, identify, and summarize relevant materials for newsletters, website, and social media.
• Experience in event planning and coordination
• Experience supporting a Supervisor who works remotely or travels will be highly beneficial.

Skills:

• Intermediate to expert level skill in the use of Microsoft Office, Zoom, GoTo Webinar, and similar programs
• High attention to detail
• Adaptable and able to learn new systems and tools
• Excellent organization and time management skills, including ability to meet deadlines, are essential
• Ability to develop and maintain positive relationships with a variety of individuals
• Ability to represent the Department and organization in a professional, competent manner
• Ability to take initiative and work within a team
• Knowledge of the healthy aging sector is an asset

WORKING CONDITIONS

• Attend program sites, travel for meetings, sometimes to remote communities
• Some hours outside of business hours to attend meetings and events
• Requires a drivers license and access to a vehicle

This is a bargaining unit role with CUPE Local 1760. This position is a pay grade 29 which is $53,544 annually.
