Position Summary

The Administrative Assistant I, General is responsible for providing administrative and reception support to the new Mental Health in Medicine clinic at Toronto General Hospital. The Mental Health in Medicine Clinic supports UHN’s priority to integrate physical and mental wellness throughout the healthcare system. Patients from transitional-aged youth to the elderly benefit from the Mental Health in Medicine Clinic. Through this service, patients have access to psychiatrists and a nurse practitioner who specialize in managing mental health conditions among patients with complex medical conditions. Patients also receive social work assistance navigating the complexities of the physical and mental health systems, as well as the programs that support the social determinants of health (e.g. income support, housing, food security, etc.).

Duties

• Support the timely and efficient processing of incoming referrals, scheduling/rescheduling of patient appointments, responding to patients’ general inquiries, activating patient appointments, cancelling patient appointments, and completing reminder calls
• The assistant will complete administrative tasks that support data reporting requirements and a positive patient experience, meeting quality standards set out by UHN and the College of Physician and Surgeons of Ontario
• This role involves interactions within a multidisciplinary team composed of physicians, a nurse practitioner, and a social worker
• The assistant will also perform other duties within the scope of the position, as required
• This position is part of an outpatient mental health clinics portfolio and provides back-up/cross-coverage support as a member of an operational administrative team
• The successful candidate will work at Toronto General Hospital and Toronto Western Hospital, based on administrative needs

Qualifications

• Completion of Grade XII or recognized equivalent
• Completion of a recognized post-secondary office/medical administration program at the certificate level or equivalent
• Two (2) years related administrative support experience
• Previous on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment preferred.
• Experience working in a health care environment an asset
• Fluency in a second language is considered an asset (Portuguese, Mandarin, or Cantonese)
• Excellent verbal and written communication skills
• Excellent organizational and time management skills
• Excellent interpersonal and customer service skills
• Ability to produce high quality work in accordance with Hospital standards
• Ability to work well under pressure
• Ability to use good judgment in assessing difficult situations
• Knowledge of general office practices, procedures and standards
• Knowledge of medical terminology an asset
