ADMINISTRATIVE ASSISTANT III
Salary: $25.89 – $32.36 per hour. Commensurate with experience and consistent with UHN compensation policy

The Administrative Assistant IIIexercises considerable judgment, flexibility and independence to provide complex secretarial and administrative support services to senior professional staff, including physicians, in the Infection Prevention & Control department and the Division of Infectious Diseases. The Infection Prevention & Control department is committed to patient safety at UHN by providing quality hospital-wide programs for the prevention and control of infections. The Division of Infectious Diseases consists of more than 25 physicians across UHN sites and Sinai Health, along with residents and fellows, who provide clinical infectious diseases services and participate in educational activities. This role operates in a non-clinical setting.
The successful candidate will provide administrative and coordination support to the Division Head of Infectious Diseases and the infection prevention and control department, including an IPAC physician.
Coordinating and maintaining schedule/calendar for assigned personnel;
Organizing clinical rotation schedules for the Division of Infectious Diseases and communicating with Switchboard
Coordinating, organizing or planning meetings and events;
Providing functional supervision to assigned personnel;
Monitoring and analyzing department budgets and completing payroll entry;
Attending meetings and taking minutes;
Using tools to develop surveys and presentations;
Ensuring efficient operation of the office;
Developing, organizing and maintaining electronic documents;
Updating WebCV on behalf of physician;
Completion of Grade XII and a recognized post-secondary Medical or Business Office Administration diploma, or equivalent, required;
Four (4) yearsrelated administrative experience;
Advanced proficiency in a Microsoft Office environment;
Excellent organizational and time management skills; ability to prioritize and deal with multiple tasks in a dynamic environment;
Very good interpersonal and customer service skills;
Excellent verbal and written communications skills;
Comprehensive knowledge of health care, organizational/office practices, procedures and standards;
Ability to produce high quality work in accordance with Hospital standard;
Ability to maintain confidentiality;
Ability to work well under pressure and use good judgment in assessing difficult situations;
Experience working in a health care environment an asset;
Knowledge of medical terminology an asset;
