The Human Resources Coordinator provides HR advice and support to management and staff from units within Student Housing and Community Services (SHCS). This role provides advice and recommendations on a wide range of human resources management issues. Responsible for advising managers on job classification and recruitment best practices and to provide support for recruitment activities. Provides general advice regarding the interpretation of collective agreements, other agreements and handbooks governing conditions of employment. Responsible for managing the new employee orientation program for Food Services. Responds to inquiries from client departments, union representatives and employees. Responsible for HR related processes and implementation of HR best practices and consistency between units within SHCS.
Organizational Status
Reports to the HR Manager, Recruitment & Attendance. Works collaboratively with staff and management from units within SHCS, including SHCS payroll and human resources staff; is a member of the Human Resources Advisory Services team. Liaises with various departments within UBC, including payroll, benefits and Employee relations.
Work Performed
Provides advice and support to managers for all recruitment activities including: identifying core competencies, coordinating and facilitating approved recruitment strategies including advertising. Participates in and provides support to managers during the recruitment process, including pre-screening and short-listing of candidates, designing interview questions, establishing interview panels including participation as required, recommending selection, negotiating offers and conducting reference checks. Advises managers on posting and interview requirements for unionized and non-unionized positions.
Prepares, researches and coordinates the submission of materials and documentation in preparation for grievances related to recruitment. Reviews with the HR Manager, Recruitment & Attendance and Employee relations (ER).
Plans and participates in job fairs and community outreach events related to recruitment.
Reviews job descriptions with department managers and discusses classification levels ensuring equity among positions in SHCS. Facilitates the job classification process. Consults with Compensation Associates/Consultants in Human Resources where appropriate.
Works with managers to assess successful candidates training needs, the resources necessary to meet these needs.
Manages the new employee orientation program for Food Services. Works with directors, managers to ensure attendance at the sessions. Coordinates the various presenters and manages the schedule. Develops materials for and delivers the HR portion of orientation and training program.
Works with managers to identify career paths for current staff.
Advises and coaches client departments with regard to posting deadlines, UBC Hiring Solutions requirements and the recall/internal/external recruitment processes.
Proactively sources staff through a variety of strategies to create and maintain an ongoing reserve of candidates.
Provides advice to managers on a variety of HR related enquiries, and provides information and general advice to units within SHCS regarding University policies, procedures and practices, and the interpretation of collective agreements, other agreements and handbooks governing conditions of employment. Refers complex matters to the HR Managers. Provides information and general advice to management and staff, regarding legislation affecting the work place (e.g. Employment Standards, Human Rights Code, and Freedom of Information). Resolves employee issues and disputes, participates in investigations.
Coordinates compensation matters and advises on salary administration for all staff groups including progression to midpoint increases and annual approved merit increases. Consults with Compensation Associates/Consultants in Human Resources where appropriate.
Reviews employee data and works closely with the SHCS Payroll manager and department managers to determine employee status and benefits eligibility. Works closely with Employee relations on complex benefits/status cases. Works collaboratively with the union to finalize eligibility. Responsible for the communication of benefits and status eligibility to SHCS employees.
Works closely with department managers to determine when to correspond with part-time SHCS employees regarding shift declines, availability, etc. and status of employment with the University.
Performs other duties and HR projects as required.
Consequence of Error/Judgement
Inappropriate advice or inaccurate information provided to client may result in the filing of grievances, arbitration processes, or the initiation of litigation. Any of these outcomes may have significant financial consequences for client departments, may have a negative impact on the University s relationship with unions and associations and/or may contribute to an unfavorable public image of the University. Failure to deliver services to departments in a timely manner may result in a disruption of client department operations.
Supervision Received
Works under the general supervision of the HR Manager, Recruitment & Attendance and in accordance with established principles and methods. Assesses situations and identifies needs and problems, and takes timely and appropriate corrective actions in consultation with HR Manager, Recruitment & Attendance and Employee Relations.

Monitors the work of temporary employees or students as required.
Undergraduate degree in a relevant discipline. Minimum of three years experience or the equivalent combination of education and experience. Human resources experience preferably in a complex, unionized environment. Thorough knowledge of current Human Resources Management practices. Knowledge of provincial and federal legislation governing employers Human Resources practices. Knowledge and experience with a coaching model to influence and advise client units. Working knowledge of the electronic recruiting system an asset. Ability to maintain accuracy and attention to detail. Effective oral and written communication skills. Proven ability to work in a team and collaborate with others. Ability to establish and maintain supportive working relationships with client departments, union and association representatives. Ability to exercise tact, discretion, and judgment required. Proven ability to be flexible, confident and self-motivated. Ability to prioritize and work effectively under pressure to meet deadlines. Ability to deal with a diversity of people in a calm, courteous, and effective manner. Ability to analyze problems, identify key information and issues, and effectively resolve. Ability to travel on and off-site unit locations. Ability to effectively manage multiple tasks and priorities.
