As a member of the Human Resources Department at the University of Toronto Mississauga (UTM), and under the supervision of the Payroll & Benefits Supervisor, the HR & Payroll Assistant works with a high degree of accuracy and ensures that both bi-weekly and monthly payroll deadlines are met. The HR & Payroll Assistant is responsible for providing a wide range of information to client departments and individual employees regarding Payroll and Human Resource matters. Responsibilities include: accurately on-lining payroll in the Human Resource Information System (HRIS) for all casual/non-appointed, unionized and non-unionized, bi-weekly and monthly paid employees including teaching assistants, sessional instructors, post-doctoral fellows and awards for graduate and undergraduate students, Work Study students, research, laboratory and clerical assistants. The Assistant ensures Canadian Immigration policies, including employment authorizations, are met. The Assistant responds to all client inquiries and investigates payroll discrepancies. Based on sound knowledge, the Assistant interprets and applies payroll and benefits requirements for various Collective Agreements. Other responsibilities include providing front-line reception and clerical assistance to UTM’s Human Resource Services office during the absence of the Human Resource Administrator.

Education:
College Diploma or acceptable equivalent combination of relevant education and experience required; enrolment in courses leading to Payroll Compliance Practitioner Program certification is an asset.
Experience:
Minimum of two (2) years of payroll processing and data entry experience required, preferably in a University setting. Experience maintaining a Human Resource Information System (HRIS), preferably SAP-based, required. General knowledge of human resources practices and legislation, with a specialization in payroll and/or benefits administration required. Experience with time and attendance software is desirable. Experience in a unionized environment is desirable. Experience dealing effectively with a diverse group of clients in sensitive situations. Previous experience processing large scale payroll and data entry, i.e. 1200 employees belonging to various employee groups is considered an asset.
Skills:
Working knowledge of Excel, Word and Outlook required. Must have demonstrated oral and written communication and interpersonal skills with employees at all levels, excellent time management and organizational skills, and effective problem-solving skills. Superior data entry skills.

Must have demonstrated ability to work accurately under pressure of strict deadlines; good analytical ability; accuracy and attention to detail; ability to manage conflicting priorities and deadlines; numerical aptitude; strong customer service orientation; initiative; ability to exercise sound judgment; ability to maintain tact, discretion and strict confidentiality; demonstrated sensitivity in dealing with complex information and upset individuals; ability to perform well independently and also as a member of a team; ability to adapt to a continually changing environment; ability to maintain up-to-date knowledge of and apply a wide range of policies, procedures, processes and legislation, and learn new systems and techniques; and ability to multi-task; ability to summarize information concisely.
Two term positions are available; one until October 2024, and the other until April 2025.
This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.
