Job Duties/Responsibilities
1. Manages the day to day operation of Academic Advising and provides oversight and support to other services (as needed) related to recruiting, supervising, training, assigning, monitoring and evaluating work of all staff.
2. Responsible for the budget management of Academic Advising Services and provides input into the business planning process, such as Institutional Learning Outcomes and Integrated College Plan.
3. Prepares a variety of statistical and other reports relative to Academic Advising Services often of a confidential nature. Prepares a wide variety of materials, correspondence, reports or records. Creates forms and tables as required, such as tracking number of appointments and cancellations, program/course information sessions and testing.
4. Oversees the development, maintenance and updates of information and Academic Advising Services department’s web page. Provides feedback and support for program areas, Registrar’s Office and Marketing department to ensure accuracy and quality assurance of student services.
5. Informs and implements strategic and operational objectives under the direction of the AVP, Student and Enrolment Services (or delegate).
6. Participates and presents at VCC committees and events to represent Academic Advising.
7. Liaises with departments within VCC and with outside agencies.
8. Performs all the duties of the Academic Advisors as needed, and regularly participates in the day-to-day advising activities.
9. Perform other related duties as required.
Qualifications
Education and Experience
A Bachelor’s Degree, preferably in a discipline related to social services or business administration, plus 4 years of experience in a public post-secondary advising, recruitment, and/or registration environment with supervisory or equivalent training.
Skills and Abilities
Thorough knowledge of the advising process in a post-secondary setting is critical.
Considerable knowledge of the College’s organization, educational offerings and program content, eligibility requirements, waitlist, etc. as applicable to student admissions, and knowledge of the various types of sponsorships and financial assistance available to students.
Sound knowledge of the programs, courses, and entrance requirements of other BC colleges and institutions as well as familiarity with a variety of assessment tools currently used by post-secondary institutions in BC is required.
An understanding of foreign credentials and their evaluation in relation to Canadian equivalencies is also needed. Must have experience working with Second Language speakers
Demonstrated ability to create and co-create recruitment strategies in a post-secondary context.
Experienced in guiding tours, public speaking and presentations, and event organizing.
Sound knowledge of Strategic Enrolment theory and initiatives and report writing.
Sound experience with Microsoft Word and experience with Banner is required.
A demonstrated ability to establish and maintain respectful and effective working relationships with counsellors, staff, faculty, students, administrators and the public from diverse backgrounds.
Excellent interviewing and active listening skills.
Ability to handle inquiries, requests and complaints with sensitivity, tact, and confidence.
Demonstrated ability to take responsibility and to work independently while looking after the best interests of the students and the college.
Excellent judgment when reviewing student assessments and when making recommendations for educational plans.
Proven ability in public speaking and providing professional written materials.
Excellent critical thinking, problem solving and organizational skills. Ability to perform effectively under stressful and demanding circumstances.
Experience in budget management is required.
Demonstrated strong interpersonal skills showing flexibility, cooperation and support of fellow personnel and ability to make thoughtful and timely decisions in a cross-campus environment.
Demonstrated ability to plan, assign, supervise and review work of subordinates and train and motivate staff effectively.
Superior communication skills with ability to clearly relay oral and written instructions.
Superior organizational skills.
Salary Range – Prorated based on FTE
PAYGRADE 27: $2,267.96 to $2,660.40 bi-weekly.
