Contract Type: 12 month contract (Maternity Leave)

Hours: 40 hours/week
Compensation: $24.00/hour
Reports To: Executive Director
The Organization
The Victoria Multicultural Society operates the Victoria Event Centre (VEC), located in downtown Victoria, Lkwungen Territory. Opening its doors in 2003, the VEC is a favorite venue for artists and local community organizers. Appreciated by producers and organizers for its versatility and affordability, the VEC has been home to countless shows that have brought music, comedy, theater, burlesque, cultural performance and activism.
We are seeking a Booking Coordinator who has a passion for the arts and helping to nurture and expand our community. The right candidate will have previous venue, event booking and arts programming experience.
Our Mission
To produce arts and cultural events, and work in partnership with local arts and cultural groups and individuals to experiment with and develop and present new events/shows/opportunities.
To provide an affordable, flexible, accommodating multi-purpose venue for arts and entertainment groups, cultural organizations and non-profit communities to hold their shows/performances, fundraisers, cultural and community celebrations.

Key Responsibilities
1. Bookings & Event Management (24 hours)
a. Manage venue bookings and event logistics for all use of the space b. In collaboration with the General Manager, coordinate event and venue policies and best practices c. Develop and maintain relationships with booking agents and event producers d. Develop and maintain relationships with organizational partners
2. Administrative Coordination (14 hours)
a. Prepare and process artist settlements, booking contracts and payments b. Maintain timely communications with clients and prospective renters
3. Program Development (2 hours)
a. Manage the booking of acts for in-house programming b. Develop and follow best practices for in-house productions c. Support grant writing for in-house programming
Experience and Qualifications
● A minimum of 2 years experience in arts administration, booking or event management
● High level of attention to detail
● Strong time management skills
● Excellent written and oral communication skills
● Contacts in the music, theatre, or arts scene are considered an asset
● The ideal candidate will have a passion for the arts and feel aligned with the VEC’s mission and values
● Knowledge of Google Suite and Airtable are considered an asset
Work Environment
● Flexible administrative schedule with up to 25% remote work capacity
● Regular evening shifts and occasional weekend shifts during events
● Fast-paced bar with live musical performances, theater shows, burlesque and more.
