Hi, we are Virtual Pros, a global outsourcing agency based in Los Angeles, California. We provide specialized virtual staffing solutions to fast-growing businesses. We are seeking to hire a Virtual Assistant on behalf of Hydrate Spa. 

Hydrate Spa is committed to helping its clients achieve optimal health and wellness through a holistic approach combining evidence-based science with natural solutions to a wide range of health conditions. Their services include Kaqun Oxygen Water Immersions, Hydrogen Water Immersions, Analemma Coherent Water Immersions, Nutritional Counseling, Detoxification Regimens, and Longevity Bio-Scans.

Hydrate Spa is in search of a dedicated and highly organized virtual assistant to join their team. As a virtual assistant, you will play a pivotal role in supporting their day-to-day operations and ensuring the smooth functioning of various tasks. The ideal candidate should possess excellent communication skills, strong attention to detail, and the ability to multitask effectively. RESPONSIBILITIES:

• Completes a broad variety of administrative tasks for the President & CEO and other members of the executive leadership team including managing an extremely active calendar of appointments; completing expense reports; itineraries, and agendas; and compiling documents for travel-related meetings.
• Plans, coordinates, and ensures schedules are followed and respected. Provides “gatekeeper” and “gateway” roles, creating win-win situations for direct access to the CEO’s time and office.
• Researches, prioritizes and follows up on incoming issues and concerns addressed to executive team members, including those of a sensitive or confidential nature.
• Works closely and effectively with the executive leadership to keep well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense of the issues taking place in the environment and keeping leaders updated.
• Prioritizes conflicting needs; handles matters expeditiously and proactively with discretion and follows through on projects to successful completion, often with deadline pressures.
• Put together client packages as advised by the team. 
• Transcribe notes taken by the operator into PracticeBetter.
• Maintains and manages corporate share drives.
• Updates files and documents upon request.
• Coordinates, manages, and processes administrative tasks such as ordering business cards, printing internal and external presentations, mailing and faxing of important documents, administration and management of subscriptions such as ADOBE, Teams, or Zoom, making reservations and ordering meals for meetings and executives, researching logistics and other important administrative tasks.
• Assists in the preparation of Board slides/material and coordinates and manages the collection of slides and materials from the executive team leadership and others who are contributing to the Board materials.
• Assists in coordinating the agenda of senior management team meetings and off-site, and all staff meetings.
• Follows up on contacts made by the leadership team and supports the cultivation of ongoing relationships.
• Schedules remote scans and follow-up calls to clients
• Assists with all scheduling
• Assists with administrative duties asked by the leadership team

QUALIFICATIONS:

• Fully proficient in English, with minimal accent
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Very strong interpersonal skills and the ability to build relationships with staff, clients and managing team
• Expert level written and verbal communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Emotional maturity
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
• Forward looking thinker, who actively seeks opportunities and proposes solutions
• Ability to be discrete and exercise discretion when needed
• Ability to create PowerPoint slides, Word documents, Excel spreadsheets, Dropbox and Google Drive

Education and Experience Requirements:

• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms. Coachable to learn to use Practice Batter.
• Strong organizational skills
• Strong ability to be detail-oriented and work with a goal of precision
• Strong time management skills and ability to meet deadlines
• Ability to handle multiple tasks simultaneously and prioritize
