Our Payroll Administrator role offers an opportunity to take ownership of the entire Voith Hydro Canadian payroll process for both salaried and union payrolls – you will be the expert we rely on to ensure compliance, and your leadership will influence the process improvement initiatives. The Payroll Administrator is responsible for the validation and compliance of multiple Canadian payrolls across various provinces. More specifically, the person oversees the payroll for the Hydro Salaried employees, as well as all union payrolls for our project sites across Canada.
The Payroll Administrator works in close collaboration with the field coordinators across Canada to collect, validate and correct hours and pay codes according to the applicable collective agreements for each project site. The person furthermore acts as a subject-matter-expert on Canadian payroll rules to support the Global Business Services (GBS) payroll team in the US. From a local perspective, they are integrated with the HR team, providing them with a sense of community and belonging.
RESPONSIBILITIES
The Payroll Administrator works under strict deadlines to validate the payroll data for the various pay groups. His/her time is divided between three main components: Salaried, project site union payrolls, and reporting.
Salaried Payroll group (25%)
Validate hours and pay codes from ADP eTime for the bi-weekly payroll cycle.
Calculate payroll corrections, manual deductions and payments.
Review, balance and approve the final report.
Process alimony and garnishmentsCollect new employee information and complete set up in ADP WorkforceNow.
Collaborate with the GBS payroll team to ensure accurate completion of the employee profile.
Support the internal and external clients to answer payroll questions and reports
Project site union payroll (60%)
Verify information provided by field coordinators for all new casual union workers on sites.
Coordinate with the GBS payroll team to create the employee files in SAP SuccessFactor (pep).
Validate hours and pay codes received from the field coordinators for both weekly and bi-weekly payroll cycles, depending on the project site.
Collaborate closely with field coordinators to ensure compliance with the applicable collective agreement
Send the reviewed hours to ADP. Review, balance and approve the report.
Ensure the programming in ADP complies with the trade union rules for all new workers in a new union group and its programming
Coordinate the set-up of the new payroll group with ADP (pay rates, pay codes, invoicing). Validate the programming before the first payroll is run.
Stay abreast of all changes to the collective agreements applicable to our project sites and implement the changes with ADP.
Reporting (15%)
Prepare and send the monthly reporting and payments for all trade unions including CCQ.
Participate in audits as required.
Collaborate with Revenu-Québec, the Canadian Revenue Agency, Service Canada
Provide reports upon request from internal and external clients.
Collaborate with ADP to complete the year-end process.
Employers’ Health Tax quarterly & year-end reporting.
Workers’ compensation
QUALIFICATIONS
Bilingual (French-English)
Strong knowledge of the complete payroll cycle (including year-end).
Relevant experience with construction payroll (ideally with the CCQ – Quebec Construction Commission).
Broad experience in general payroll processing (5-10 years) with exposure to multiple Canadian provinces.
National Payroll Institute certified (asset)
Knowledge of ADP WorkforceNow and eTime (asset)
MS Excel – Intermediate level (V-Lookup, pivot tables, etc.)
High level of flexibility to meet tight payroll deadlines, ability to work under pressure and multi-task.
Highly organized individual, with strong attention to details and ability to concentrate on tasks requiring high focus efforts.
Proactive and self-starter who is able to improve and automate our current processes to reduce the risks of errors.
Ability to clearly communicate and explain payroll concepts.
