The opportunity:
Reporting to the Vice-President, Platform Sales and Support, the Sales Coordinator will participate in a broad range of administrative and operational tasks to proactively support the efficient and successful operations of our internal Products and Platforms sales department.
The incumbent will be responsible for administrative duties, supporting both the Vice-President and the Platforms Sales and Support department. This includes booking travel and hotels, completing expense reports, and routinely updating tools and proposal resources.
The Sales Coordinator will also directly support the Vice-President, Platform Sales and Support by scheduling meetings, organizing calls, and managing employee intranet communications and postings for the Products & Platforms sales team.
Key responsibilities include:
Providing confidential and executive administrative support to the VP while ensuring comprehensive administrative management functions are maintained.
Managing the monthly expenses of the VP, and dealing with associated correspondence as required.
Coordinating, managing, and assisting with the planning and execution of travel, including car rental arrangement and hotel booking.
Managing and prioritizing the calendar of the VP to arrange and facilitate in-person and Zoom meetings and Webinars with Advisors.
Assisting in building relationships with Advisors by planning and organizing educational and business promotional events/activities.
Utilizing Big Mailer to manage email distribution lists, running tracking reports to analyze recipient open and click rate, and organizing and executing e-marketing campaigns.
Facilitating the printing and distribution of sales booklets, and assisting with employee intranet content development.
Creating and maintaining proposals and sales reports for the VP, in addition to conducting research, analyzing, and compiling information as required.
Organizing and coordinating information, workflow, and other office activities; creating new or improving existing processes and procedures to ensure operational effectiveness.
Acting as the team’s reporting specialist, running daily, weekly, monthly, and adhoc reports.
Performing other duties as assigned.
The ideal candidate will possess:
A diploma or degree in business administration, finance, or similar field of study.
Financial industry experience, preferably in an administrative or operational capacity, is an asset.
A high level of proficiency with Zoom and Microsoft Office tools; particularly MS Word, Excel, PowerPoint, and Outlook.
Experience in the Mutual Fund business or the brokerage/financial planning industry is an asset.
An ability to balance multiple priorities while maintaining a high degree of accuracy and attention to detail.
Strong problem-solving skills and analytical skills; an ability to investigate problems without supervision.
An ability to take initiative and thrive in a fast-paced, dynamic work environment.
A reliable and consistent work ethic; an ability to handle confidential information in a professional and tactful manner.
An ability to adapt to change, including the ability to quickly and reliably respond to changing priorities and tight deadlines.
Familiarity with Customer Relationship Management tools.
Conditions of employment:
Must be legally eligible to work in Canada.
Must be able to travel within Canada up to 10% of the time.
