Wilderman Medical Clinic is looking for a Medical Administrative Assistant. We are a multidisciplinary pain clinic that provides a variety of services to patients with chronic and acute pain arising from injuries such as motor vehicle accidents, work-related, sports, age-related diseases, etc. The successful candidate should be a quick learner who has excellent communication, multitasking, strong organizational skills

Job Description:

• Supporting and assisting closely the Director of the clinic with various administrative tasks;
• Preparation and distribution of agenda and minutes before Quality Assurance meetings, monitoring training of the medical staff, scheduling maintenance of the medical equipment for two different clinics;
• Assisting with the hiring process by creating, posting or editing existing posts, and conducting phone screening interviews for successful candidates;
• Hiring, and supervising volunteers for administrative work, and preparing contracts for volunteers for different roles;
• Creating or editing existing policies for both clinics to align with the best practice guidelines of MOH and CPSO;
• Maintaining effective internal communications to ensure that all relevant company functions are kept informed of administrative objectives;
• Coordinating the working process of the company departments by ensuring the deadlines are met and resolving any issue that may appear;
• Maintaining inventory of medical and office supplies by ensuring all the products are in stock;
• Other duties as required by the Clinic from time to time;
• This position is temporary to cover for a person who is leaving for maternity leave. There is a potential to get transferred to another position within the company after that.

Skills & Qualification:

• 2 to 3 years of administrative experience, preferably in a busy medical environment
• A bachelor’s degree in Health Administration is preferable
• Effective time-management skills with an ability to appropriately prioritize tasks
• Demonstrate ability to work effectively with other team members as well as ability to work independently
• Well-developed analytical skills, organizational and strong problem-resolution skills
• Excellent written and verbal communication and interpersonal skills
• Ability to handle a diverse, complex, and ever-changing workload in fast-paced settings while meeting the needs of multiple staff members
