The Golden Opportunity
Our WFW Toronto team is looking for a professional and organized individual to join us in the role of Receptionist. This position reports to the Assistant General Manager and is a full-time permanent position.
Responsibilities
Greet clients and visitors with a positive and helpful attitude.
Assist clients in navigating the building and direct them accordingly.
Inform WFW personnel that their visitor has arrived and connect them with the appropriate party.
Conduct health checks on all individuals entering the building through the main entrance.
Ensure all individuals complete a health questionnaire and temperature check.
Ensure hand sanitizer, signage, PPE (gloves, masks & recycling container) are available to staff as they enter.
Issue color specific wrist band for guests who enter through reception.
Help maintain workplace security by monitoring and processing all visitors entering through the gate via the CHUBB and Avigilon software.
Answer phones in a professional manner and routing all incoming calls, as necessary.
Transfer calls and direct messages as required.
Prepare weekly courier envelopes for other WFW offices along with sorting and distributing mail.
Preparation and coordinating of couriers.
Keep internal phone / cell phone extension list updated and distribute latest version via email to WFW staff.
Ensure proper volume of taxi chits are on hand and distribute as directed.
Ensure Envoy (our sign in system for guests) is accurate and up to date.
Conduct various administrative functions for accounts payable and receivable including, but not limited to the following:
Prepare cheques for mailing and post cheques into Dynamics software.
Organize and prepare cheques for filing.
Input of broker & freight details from invoices into Dynamics.
Sort and organize customer invoices.
Daily mail out of cheques and statements.
Ensure reception area is kept neat and presentable.
Attend and help at occasional dedicated events (i.e., TIFF reception).
Other administrative duties, tasks and projects as required.
Hours of work: 8:00am – 5:00pm, Monday to Friday.
The Ideal Candidate
Proficiency in Microsoft Office Suite (i.e., Excel, Word, etc.).
Knowledge of the film industry an asset.
Must have strong organizational, interpersonal, and multitasking skills.
Must have the ability to work under pressure and to tight deadlines.
Must have excellent verbal and written communication skills.
Strong customer service skills.
