Executive Assistant
Are you an expert in keeping a team organized, ensuring details are correct, documents are accurate, and priorities are met?
Shared Health (sharedhealthmb.ca) has an opportunity for an Executive Assistant to report to the Provincial Lead Medical Specialist Services and Chief Medical Officer to support the medical specialist services leadership team.
Position Overview
The Ideal Candidate For This Executive Assistant Position Will
- Be unquestionable in their integrity and management of confidential information, and demonstrate a commitment to our organizational vision, mission and values.
- Be an expert in time and priority management for themselves and the team they support to coordinate calendars, meetings for large groups and manage emails.
- Apply expertise in general office software and tools (MS Office, Teams, Zoom) to compose and produce exemplary documents such as briefing notes, letters, reports, spreadsheets, charts, graphics and presentations and to coordinate meetings with clear agendas and minutes or informal notes.
- Edit documents with clear grammar, spelling and punctuation.
- Take the initiative to respond to general requests and be an active participant in the continuous improvement of tools, processes and systems.
Experience working in the health system is an asset. A hybrid work-in-office/work-from-home program is available. Limited early morning/evening work is required.
The minimum qualifications for this position include 5 years of experience in a senior administrative support role with a minimum of a high school diploma or equivalent combined with formal training in administrative office skills from an accredited educational institution and a typing speed of 60 wpm; an equivalent combination of education and experience may be considered. This position requires a current (within six months of the position start date) satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. Please note that an employee cannot to hold two or more positions in Shared Health that combine to equal more than 1.0 FTE.
