TITLE: Intern, Administrative Assistant
LEVEL: Entry to Mid-level
REPORTS TO: Executive Assistant; President & CEO
Summary
The Intern, Administrative Assistant provides administrative support
to help the efficient operation of the office of the President & CEO,
and additionally, any other department of the Association that may
require assistance at any given time.
The Intern, Administrative Assistant will be supervised on a daily
basis by the Executive Assistant, or another supervisor, as assigned,
based on the scope of work. The incumbent will meet regularly with
their supervisor to review daily tasks, ask questions, and receive
direction and feedback. The candidate will also participate in the
Association’s performance management program, to set goals, track
success and report on their performance.
The role is subject to change, based on the needs of the association and its

members. Other duties may also be assigned, as required.
* Assist in the set up of meetings in person and virtually, for the
Office of the President, and for other departments that may require
assistance; minute taking
* Complete a variety of special projects including creating
PowerPoint presentations, financial spreadsheets, special reports and
agenda material
* Process communications and correspondence, as required, including
preparing and maintaining mailing lists from database in a mail merge
format
* Prepares and formats documents according to office standards
* Assists in the creation of electronic filing structure, standards
and procedures, and its company-wide implementation
* Maintain, create and refine internal policies and procedures, as

* May be required to arrange transportation and/or accommodation for
staff travel, as required (e.g. flights, car rentals, hotel bookings,
etc).
* Assists with monthly expenses submissions and General & Admin (G&A)
financial management
* Support the Administrative team in operation and maintenance of
equipment and software, as well as maintenance of office supplies
* Support the Events department, Sales and Membership department,
Marketing and Communications department, as required, with
administrative tasks, as they arise and are assigned
* Provide back-up to staff and take on ad-hoc projects, where and
when necessary
* Other duties and responsibilities may be assigned

* Excellent computer skills, including the Microsoft Office Suite
(Outlook, Word, PowerPoint and Excel), Microsoft Teams, Zoom;
* Strong communicator with excellent verbal and written skills;
* Ability to follow administrative processes;
* Ability to quickly learn new programs and software;
* Punctual and reliable;
* Holds a strong sense of confidentiality and understands how to
manage appropriately;
* Strong writing, editing and proofreading skills;
* Demonstrated ability to work in a fast-paced environment, be
flexible to change and work under pressure and under tight deadlines;
* Superior customer service skills while coordinating with members of
the association.
* Must be legally eligible to work in Canada;
* The ability and flexibility from time to time, to work weekends and
overtime, both in office, or at another location as the job may
require, or virtually, as directed by your supervisor. Travel may also
be required.
