Salary: $62,287 – $73,209

In compliance with Board policies and procedures, responsible for providing office management and administrative support to the Plant Services department

MAJOR RESPONSIBILITIES:
To provide administrative support to the Senior Manager of Plant Services, including receiving and preparing draft correspondence, reports, agendas, minutes maintaining calendars and establishing day to day work priorities.

To respond to external and internal inquiries providing information or redirecting to applicable departments.

To assist in managing the daily administrative operations of Plant Services, including establishing work priorities, problem solving, project planning, and assist in the supervision of administrative personnel.

To prepare process and verify purchase orders, cheque requisitions, budget transfers, invoices and petty cash for Plant Services budget lines, including preparing expense reports, as required.

To prepare monthly Reports and schedule summaries for submission and inclusion in Board meetings.

To coordinate and manage the absence and overtime sheets for all Plant Services staff, including vacation/sick leave and timesheet verification, as required.

To arrange and attend interviews/meetings and perform various clerical and administrative actions arising from committee deliberations including record keeping, as required.

To organize, oversee and maintain the filing system for Plant Services, including the maintenance of personnel files.

To assist where appropriate in the staff hiring processes.

To perform other duties as assigned.

LINE OF RESPONSIBILITY:
Responsible to Senior Manager of Plant Services – Managers of Facilities Services.

EDUCATION, EXPERIENCE AND QUALIFICATIONS:
A two-year college diploma in office/business administration or a related discipline, or equivalent, as approved by the Board, is required.

Minimum five years in executive office administration or related experience is required.

Effective verbal and written communication, interpersonal, problem solving, and computer skills are required.

Ability to deal effectively with a variety of individuals and groups both within and outside the Board is required.
