JOB PURPOSE
Under the direct supervision and with support of the Controller, the Administrative Coordinator is responsible for the organization and coordination of office operations, procedures, and resources. Additionally, they will work to support the day-to-day financial needs of the organization including deposits, a/r entry, reconciliation support, data entry, audit support, filing and customer support.

DUTIES AND RESPONSIBILITIES
The Administrative Coordinator for the following organizational activities and deliverables:
· General office administration; including answering reception phone line, arranging courier, filing financial documents, management of incoming correspondence, and responding to emails through general mailbox, ordering of office supplies, etc.
· Support the Controller in the administration of all office systems including (but not limited to): phone, email, benefits, EAP Program etc.
· Utilizing QuickBooks and supporting the maintenance of Feed Ontario’s general ledger
· Assist in Accounts Receivable and Accounts Payable including QB and Salesforce entries, vendor/customer outreach, vendor/customer inquiries, etc
· Responsible for daily banking needs including bank deposits, uploading of daily banking transactions, etc.
· Help to maintain and manage various databases such as employee files, vendor records, IT, contact lists, vendor details and etc.
· Support the Controller in the maintenance of all Feed Ontario contracts
· Answering basic inquiries and provide information to members, stakeholders and community partners as needed to support additional department
· Support in the accurate and timely operations of payroll
· Assist in visa monthly reconciling and journal entries
· Support board of directors and related subcommittees through meeting scheduling and support, meeting minute taking, and any additional administrative support needed by committees
· Administrative support to the Network Services team including: event scheduling and registration, member inquiries, member invoicing/refunds, etc.
· Provide additional support as required by the Controller and/or Executive Director and;
· Other duties as assigned

· Computer Skills (MS Office, QuickBooks, Salesforce, Acrobat, Google Drive, Zoom)

· Time Management and Organizational Skills

· Recordkeeping (Minute Taking)
WORKING CONDITIONS
The Feed Ontario office works under a hybrid model of in-person and remote work, as needed depending on the role within the organization. However, given the nature of the work required for this role, this individual will need to be in office at least 2 working days per business week.
