We are seeking a confident, motivated professional to join our team as the Executive Assistant who will contribute to a caring, supportive environment, in support of the AS AB/NT vision.
The Position
Reporting to the CEO, the Executive Assistant is the confidential, administrative support for the
CEO and Board of Directors. The successful candidate will demonstrate the ability to exercise considerable discretion in providing executive administrative support at the highest quality level.
The Executive Assistant will be responsible for:
- Proactively supporting the CEO, including supporting operational and strategic planning, maintaining agenda(s) and calendars, conducting research, and preparing correspondence
- Communicating and connecting with various stakeholders on behalf of the CEO
- Providing efficient coordination of the Board of Directors including meetings, orientation, recording minutes, and drafting supporting documents
- Managing the Board of director portal and acting as a resource to the CEO and Board during utilization
- Coordinating and maintaining the general Society membership and meetings
- Playing a key role in planning staff initiatives and special projects assigned by the CEO.
What you will bring
- An Executive Assistant diploma (or equivalent) with 3-5 years of direct experience in a similar role
- High ethical standards with a demonstrated ability to handle highly confidential information
- Ability to demonstrate political acumen when dealing with all levels of government, funders, donors and client stakeholders
- Exceptional written and verbal communication skills
- Experience working with client relationship, and Board management software
- Demonstrated ability to manage projects involving multiple stakeholders
- Self-starter, able to work independently and effectively manage a busy and diverse workload
- Exceptional interpersonal, time management, listening, and telephone skills
- Ability to maintain a proactive, solution-oriented approach to problem-solving
- High level of proficiency in the Microsoft Office Suite
- Flexible and adaptable
- Good general knowledge of office equipment.
Working conditions
- Flexible remote work and office environment with routine use of computer
- Standard 35-hour workweek
- Some travel required.
