CapsCanada Looking for Human Resources/Office Administrator at Windsor, ON Full Time

Qualifications:

• College Diploma in related field or relevant experience.

Reception Responsibilities:

• Answer phone lines promptly in a friendly and courteous manner while directing calls to appropriate staff.
• Maintain security by monitoring the front door access to the building, checking picture identification, and issuing guest badges to visitors / contractors when necessary.
• Manage access cards for employees and contractors as needed.
• Welcome visitors / contractors while ensuring the company policy is adhered to including completing the Visitors Log Confidentiality Agreement, GMP Regulation, Code of Conduct and accompaniment of a CapsCanada® Employee.
• Process all incoming mail and courier packages. Exercise common sense at all times, do not open suspicious mail and notify your Manager immediately of any suspicious mail or packages.
• Process outgoing mail and courier packages (colour cards / brochures / capsule samples.)
• Redirect couriered packages with samples to Customer Service for logging and forwarding to Quality if appropriate.
• Coordinate the intake of sales leads of potential new customers.
• Schedule travel, flights, hotel reservations and shuttles as required. Arrange and pick up meals and catering for guests when required.
• Record daily cash receipts from all sources, and report promptly.
• Update invoice spreadsheet daily.
• Monitor office supply inventory and compile office supply requests from all departments on one requisition form.
• Provide completed, approved requisition to Purchasing for ordering office supplies and first aid supplies.
• Monitor coffee, soda and supplies in both kitchens and call suppliers for replenishing.
• Support all departments with administrative and clerical assistance as needed. E.g. photocopy booklets, print and laminate various signs, labels, meeting minutes and reports as required.
• Assist with control and archiving of GMP documentation such as Change Controls and training records.
• Assign change control sequential numbers based on the change control log. Follow up on change control deliverables and supporting document with change control owners to ensure all associated records are appropriately collected and archived.
• Maintain the database, training records, and training matrix of current SOPs and official company forms for all departments and update as required based on change control protocol.
• Maintain communication boards, annual policies, and certification in both plants and kitchens.
• Manage the Employee Wellness Program.
• Manage the Recycle Program.

Human Resources Assistant Responsibilities:

• Manage recruitment ads, screen resumes, schedule interviews and orientations, and initiate employment contracts and reference checks for various positions.
• Facilitate annual training requirements, testing, and scheduling including annual training review, first aid, lift truck, and fall arrest re-certifications.
• Replenish first aid kits in both facilities as required.
• Conduct WSIB reporting for accidents and injuries and assist with return-to-work program for WSIB lost time accidents.
• Adhere to JHSC administration including meeting administrator, communicating accidents and incidents to JHSC, manage safety stats, JHSC meeting minutes, risk assessments, inspections and electronic files.
• Assist with annual audit preparations.
• Assist with company events & newsletters
• Provide support and research on HR Projects. ( ex: safety program updates, recruiting strategies and analysis, training programs)
• Be an active member in the HR Team by supporting and contributing to the ongoing development of our company strategy and culture.
• Participate in continuous improvement activities.
• Maintain a clean and safe work environment.
• Comply with all Company safety rules, Provincial and Federal rules and regulations.
• Perform other duties as assigned.
