Your role will be to provide administrative and technical support to the Executive Vice President, the Quebec Vice President and the Montreal-based staff.
You will play a key liaison role between staff, property management, IT, accounting and community partners.
The position is permanent, full-time. The schedule is from 8:30am to 5:00pm Monday to Thursday and from 8:30am to 2:30pm on Fridays.
Partial remote work is possible.
Responsibilities:
– Provide support to Vice Presidents by compiling and organizing documents, reports and lists.
– Manage and maintain executive appointment calendars.
– Manage the office: greetings, answering phone calls, ordering office supplies, shipping, petty cash management, maintenance of storage room, photocopier…
– Organize all aspects of conference calls, on-site and off-site meetings, and special events.
– Manage flight (via internal manager) and hotel reservations for all staff.
– Prepare minutes, correspondence, reports, slide presentations and other information.
– Prepare and distribute communication and information products.
– Liaise with the accounting department on behalf of team members (invoices, check requests, etc.).
– Conduct online research as needed.
– Follow up on tasks and actions taken by teams.
– Resolve basic technical issues (printers, phones, computers).
Profile required:
– Excellent French spoken and written.
– Proficient with spoken and written English.
– Organized, autonomous, dynamic and multi-tasker.
– Great attention to detail.
– Curiosity and willingness to learn.
– Comfortable with computer software (MS Office 365).
– Ability to work in a fast-paced, pressured environment.
– Occasional availability outside of normal working hours.
– Knowledge of the Montreal Jewish community is an important asset.
