As the Human Resources Administrator you will report directly to the Manager, Human Resources and be responsible for administering critical HR programs. This role will support multiple locations with the opportunity to work out of our Kitchener Office.
The Human Resources Administrator will be responsible for providing a consistently high standard of administrative support to the human resources team in the areas of Onboarding, Compliance, HRIS support, and administrative support of our Temporary Foreign Worker Program and HR Programs. This is a great opportunity for someone who wants to gain experience in Human Resources and develop with a growing organization.
This position is a 6-12 month contract with the strong ability to move to permanent.
Job Duties:
- Responsible for ensuring Namely (HRIS) profiles are complete and accurate- agreements are signed and employee data is accurate
- Coordinates with payroll to ensure Providers are paid for orientation, communicates with Providers how orientation pay will be calculated
- At the request of our customers shares internal data and policies and maintains up-to-date and accurate information on our customer’s vendors requirements (Avetta, contractor check)

Responsible for managing the Compliance Inbox
- Answering questions from Providers on training
- Tracking demerits on the feedback tracker
- Updates Provider Feedback Tracker(s) based on feedback received from [email protected] inbox and dispatch handoff

Administers all new hire onboarding training for all field and office positions
- Tracks completion of all onboarding tasks in Asana (Project Management Software)
- Meets Providers to discuss training requirements and timelines for completion
- Facilitates in person new driver Provider onboarding
- Primary point of contact for all inhouse training requirements

Ensures all training is captured accurately in onboarding, requalification and compliance with confidence
- Annually Reviews all documents and training review to ensure all training is accurate and up to date
- Partners with business leaders to update and obtain industry specific training as required by the organization, our customers and the ministry

Administers annual requalification for all Providers
- Maintains requalification templates in Asana to ensure all tasks are up to date
- sends training links
- Ensures HRIS System is up to date and captures all completed annual training
- Sends regular reminders to Providers and Managers on requalification status, completion and any questions they may have
- Provides coaching and support to Providers as required throughout the requalification process
- Communicates and documents progress on requalification with HR and SLT teams
- Facilitates and records company information sessions, creates Youtube videos and updates in HRIS as needed
- Updates HRIS system (Namely) with Provider time off
- Sends Providers Birthday cards, Service Recognition awards, supports holiday gifts, Provider appreciation events and various other HR Calendar initiative
- Other Administrative tasks as reasonably assigned

What you bring to the role:
- 1-2 years experience in an administrative role supporting multiple leaders
- Experience supporting hourly employees
- Intermediate experience with Microsoft Office and Google
- Excellent accuracy and attention to detail
- Excellent communication skills both verbal and written
- Able to demonstrate an understanding of business objectives
- Post-secondary degree or diploma in Human Resources, or a Business-related discipline.
- Sound judgment with the ability to maintain confidentiality and manage sensitive information.
- A team player who is also able to work independently with minimal supervision.

- Nice to have – Fluent in Spanish
