Under the authority of the Professional Engineers Act, PEO licenses and governs over 91,500 licence and certificate holders and regulates the practice of professional engineering in Ontario. Position Summary

The Academic Assessment Officer is responsible to assess the academic qualifications of applicants for a licence or limited licence and make recommendations with respect to meeting the academic requirements for licensure. This role reports to Manager, Applications & Academic Assessments.

Responsibilities

• Perform a detailed review of the submitted materials and assess the quality of academic qualifications, ensuring fairness and consistency of process throughout the assessment, based on established guidelines and standards:
• Acceptance and authentication of submitted documents,
• Review academic records and third-party assessments for concurrence with International Institutions Degree Database (IIDD),
• Review academic transcripts and course descriptions for concurrence with approved academic syllabi
• Assess completion of confirmatory exams and/or other actions to satisfy academic equivalency,
• Make determinations on referral of files to Academic Requirements Committee (ARC),
• Attend meetings for the ARC as needed to ask questions as needed.
• Create the materials for presentations, report creation for pending assessments, decision appendices for approval.
• Prepare documents for ARC reviews; support ARC as needed to facilitate timely reviews.
• Perform academic assessments for applicants not referred to ARC.
• Determine whether applicants meet the academic requirements for licensure.
• Document the academic assessment process to facilitate reporting.
• Prepare Notices of Determination and Notices of Withdrawal as required to support decisions regarding academic requirements.
• Ensure files and metrics on approvals are up to date.
• Investigate and resolve applicant concerns regarding licensing decisions.
• Prepare an update messaging on academic assessment process for general and individual communication with stakeholders.
• Work collaboratively with other Admissions staff to ensure quality control, with the regular review of application approvals.
• Close applications that fail to satisfy academic requirements or submission deadlines.
• Liaison for institutions for development of programs, including preparing presentations to emerging or current bridging programs.
• Evaluate applicants of other bridging programs as they are introduced.

Specialized Skills and Knowledge

Knowledge of/willing to learn:

• The Professional Engineers Act, Ontario and Regulations relating to the academic requirements for licensure,
• PEO’s Licensing Policies and Procedures and reporting tools,
• International and domestic standards for engineering education to meet professional licensing requirements,
• Familiarity with existing mutual recognition agreements and third-party assessments,
• Familiarity with approved syllabi developed by PEO and Canadian Engineering Qualifications Board (CEQB),
• Familiarity with Canadian Engineering Accreditation Board approved programs,
• Familiarity with National Membership Database (NMDB) and IIDD,
• Familiarity with Aptify registration database and the Applicants module.

• Attention to detail and accuracy in reviewing applicant academic documents and maintaining assessment records,

• Discretion, tact, and sound judgment in handling confidential information,
• Positive outlook in working within a team and independently.

Qualifications:

• Post-secondary degree in education administration, engineering or public administration, or a related field,
• Prior experience in engineering education or a regulatory environment is an asset,
• Familiarity with academic program content for one or more engineering disciplines is an asset,
• Minimum 5 years’ work experience.

We have fully embraced hybrid working, and for this particular role this means coming to the office twice a week. However, if you wish to work in the office more often, you are welcome to.
