We are looking for two (2) candidates that are confident, dependable, and professional team players to join us in the roles of Project Administrators.
(2) Full-time positions
Roles & Responsibilities
Responsible for a wide variety of specialized project-related administrative and accounting functions, including organizing new project setup.
Scheduling duties, including but not limited to meetings and arranging for additional meeting requirements and needed (refreshments, meals, etc.), booking boardrooms, and completing meeting minutes.
Manage project documents and files.
Organize subcontractors invoicing, subcontract agreement returns, credits/back charges, and ensure compliance with project contractual obligations as needed.
Exercise good judgement and discretion and independently resolve problems and issues relating to administrative project functions.
Work closely with multiple project managers, project teams, site supervisors, clients, sub-contractors
Perform other administrative duties as needed.
Requirements & Qualifications
Minimum five (5) years experience.
Following experience considered an asset:
Previous construction industry experience
Understanding of Viewpoint and/or Procore software
Knowledge of project accounting, invoicing, and budgeting
Business or administration background
Strong understanding of Microsoft Office, database, and accounting systems.
Extremely detail-oriented
Organized and efficient
Strong interpersonal and time management skills
Ability to multi-task, work independently, confident, and professional
Excellent keyboard speed accuracy
Capability to learn new software quickly
Excellent communication skills, both written and verbal, of the English language
