SPECIFIC RESPONSIBILITIES
Managing Ongoing Contracts
Act as direct point of contact (POC) for contractual communications including contract requirements, contract fulfillment, and customer invoicing.
Develop relationships with the contract administration contacts at Canadian and US governmental agencies to facilitate clear communications on needs and expectations and to foster the ability to have informal communications related to the responsibilities of the business.
Manage Mustang Survival’s GSA contract with the US Government including coordination with US Military Business Development Manager.
Provide notification of the appropriate contractual requirements to other parts of the organization including delivery schedules and compliance obligations. Coordinate contractual responses as required.
Communicate proactively on order status to the customer and relay internal notifications regarding any changes to the contract.
Submit contract amendment requests for waivers, deviations, delivery schedule and other changes that may be required/requested. Coordinate and support timely contractual changes by reaching out to customers and internal resources to resolve any issues or answer questions promptly.
Ensure compliance with US and Canadian government regulatory filings related to our Federal and Provincial government contracts. This includes management of Mustang Survival in the US Government System for Award Management (SAM) in the United States, Canadian business registrations, and various representations and certifications required to support ongoing government business.
Submit administrative reports as required per contracts and business agreements that are within purview of the Government Contract Administration group (e.g. GSA quarterly reports, Standing Offer Agreement quarterly reports for DND, RCMP and other Government agencies), and coordinate support from other departments as necessary to meet other reporting obligations.
Understand and develop the appropriate coordination with other Mustang Survival departments that support the Government business such as Sales, Engineering, Quality, Manufacturing, Finance and Supply Chain & Fulfillment.
Support Accounts Receivable as required with customer communications regarding account balance status and assisting finance to resolve account/payment issues.
Develop and lead initiatives that improve contract management practices and the overall competencies within the team.
Business-Winning Support Activities
With the support of the VP Military and Professional programs, coordinate proposal teams to respond to Canadian DND and Federal Agency Requests for Proposal.
Monitor Federal business opportunity websites in Canada (typically government-operated) and coordinate with US Business Development team on monitoring of similar US websites.
Provide contract administration support to the development of proposals and other solicitation responses to the US Department of Defense and major US prime contractors.
Review new contracts prior to acceptance to determine if they meet expectations. Identify areas of risk and especially note any of high or unusual risk. Work with the Program Manager and VP Military and Professional Programs to determine strategies for risk mitigation.
Preparing quotes to support non-standard (i.e. not typical order entry) requirements for Canadian and US governmental agencies.
Customer Support
Develop strong internal relationships with various departmental groups and resources such as Engineering, Quality, Finance, Manufacturing, Supply Chain & Fulfillment and the MILPRO Product Manager to facilitate collaborative support for timely execution on contract orders.
Support communications between Mustang Survival customers, sales and business development managers, and internal functional groups, for example warranty/repair and accounting departments, to facilitate a positive customer experience.
QUALIFICATIONS
Grade 12 graduation along with related post-secondary education
8+ years related experience in a similar role related to Government contract management
Previous experience working with Government entities in Canada and/or the United States either as part of the government or the supplier. Experience with both is a strong asset.
