Your opportunity:
Working under general direction, the incumbent is responsible for the effective and efficient operation of the Office of the Associate Dean, Academic and its portfolio, which encompasses all academic programs offered by the Lawrence S. Bloomberg Faculty of Nursing and includes matters pertaining to overall program quality, program review and accreditation, student conduct, and academic appeals. As well, the incumbent provides senior-level executive assistance to support the Associate Dean, Academic in a range of responsibilities, including leadership, teaching and research. The incumbent reports directly to the Associate Dean, Academic and works closely with the academic program directors and the Director, Office of the Dean
Your responsibilities will include:
Maintaining senior staff calendars
Liaising with stakeholders to support initiatives
Maintaining information on digital platforms
Keeping well-informed on leadership commitments and priorities
Coordinating meeting schedules, agendas, materials, action and follow-up items
Maintaining and organizing project documentation
Applying established standards when administering academic search activities
Analyzing processes and recommending changes for more efficient coordination of operations
Essential Qualifications:
Bachelor’s Degree or acceptable combination of equivalent experience
Minimum three (3) years of experience in senior secretarial or administrative positions, preferably within a post-secondary environment
Experience working effectively with a broad range of individuals at various levels and under demanding conditions is required
Experience overseeing and monitoring accounts and working with financial information systems is required
Advanced computer skills, including proficiency with Microsoft Office (Word, Excel, PowerPoint, Access, and Outlook), spreadsheet and database management, presentation design, and complex calendar management
Proven flexibility and adaptability within a constantly changing environment
Demonstrated ability to be proactive and innovative in re-designing work procedures
Impeccable attention-to-detail and deadlines and the ability to work under pressure
Ability to consistently exercise a high degree of tact, discretion, good judgment, sensitivity, confidentiality and professionalism
Strong communication (oral and written) and customer service skills
Ability to work independently and as part of a team
Ability to interpret and apply guidelines, policies, procedures and agreements
Ability to learn and adapt to new technology
Excellent document and electronic file record management/retrieval
Assets (Nonessential):
Knowledge and understanding of the academic policies and procedures of the Faculty of Nursing and the University of Toronto is an asset
Experience coordinating the CUPE 3902 Unit 1 teaching assistant hiring process
Knowledge of the nursing profession combined with a solid understanding of the importance of community and clinical agency partnerships within the Faculty preferred

Pay Scale Group & Hiring Zone:
USW Pay Band 10 – $63,089 with an annual step progression to a maximum of $80,678. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
