Action Electric is a full-service provider, implementing top-tier electrical solutions from start to finish. Due to our continued growth in the Lower Mainland, we are looking for a team-oriented, Administrative/Office Assistant to join our organization.
You are the ideal candidate if you are outgoing, can multi-task and have excellent time-management skills as you will need to work effectively in a fast-paced environment. You are resourceful and organized with great attention to detail, and can take initiative and address opportunities and challenges with creativity.
This is a temporary position for a duration of 3-6 months and could potentially lead to a full-time position.
RESPONSIBILITIES:
- Greet visitors and answer phone calls in a friendly and professional manner; ensure all calls are directed to the correct department or personnel quickly and efficiently
- Oversee boardroom booking calendar and coordinate requests
- Responsible for booking and coordinating travel requirements for project teams and electricians.
- Arrange for food and beverage delivery for meetings and training events
- Receive mail and packages and deliver to correct department or personnel
- Arrange couriers to other branches
- Oversee office supply inventory, coffee machine supply and process orders as required
- Keep the staff office directory up to date
- Assist with project coordinating tasks such as invoice reconciliation, closing jobs
- Act as the company’s safety coordinator representative, including updating and preparing health and safety documentation up (i.e. MSDS Binder)
- Process cheque requisitions for office-related invoices
- Maintain accurate and up to date tracking lists as needed
- Organize company/social events as needed
- Perform additional tasks as assigned
QUALIFICATIONS:
- 2 years office experience in a related role
- Great written and verbal communication skills
- Highly organized, able to multitask and attention to detail
- Proficient with Microsoft Office
