Reporting to the Operations Coordinator, the Administrative Assistant has the primary responsibility of supporting the Operations team and collaborating on certain tasks related to the day-to-day operations of the office as well as corporate events. He or she is also responsible for replacing the receptionist as needed (breaks, lunch, absences, vacations).
The main responsibilities of the position are:
• Preparation and drafting of various letters and ensuring the required follow-up;
• Coordinate the reprinting of various documents (invoicing, envelopes, forms, etc.);
• Organize mail or parcel shipments that require specialized delivery firms;
• Purchase office supplies from accredited suppliers;
• Manage stationery and filing rooms;
• Maintain an up-to-date inventory of marketing materials; scheduling stationery and other orders in anticipation of events;
• Participate in the preparation of shipments (statements, advisors’ boxes), ensure the conformity of parts according to established standards;
• Participate in the coordination of events: management of conference registrations, confirmation calls, preparation of pouches and materials (banners, promotional items) for booths, conferences, retreat workshops, etc.;
• Perform tasks related to the production of marketing materials (performance, ranking, etc.), and their updating; printing coordination;
• Ensure relations with the building manager in Montreal;
• Communicate with service providers (office devices, telephony, access cards, alarm systems, keys, parking, etc.);
• Collaborate with the Operations Coordinator in the execution of ad hoc tasks;
• Ensure the replacement of the receptionist during lunch hours, holidays and other absences;
• Perform other related duties.
You are the person we are looking for if you meet the following criteria:
• High school diploma;
• Three to five years of experience in administrative support;
• Excellent command of spoken and written French;
• Very good knowledge of spoken and written English;
• Attention to detail, rigor, thoroughness, sense of organization and discretion;
• Professionalism, autonomy and absolute discretion;
• Good command of the Office suite.
