Description of tasks:
-Acts as administrative support for the planning, monitoring, control and distribution of any work to the activities of the organizational unit.
-Prepares, monitors, controls or coordinates certain files relating to housing, work registrations, fumigation, elevator maintenance contracts, disasters or other such files.
-Performs the entry of information relating to the follow-up of maintenance work requests and performs the administrative conciliation of work records.
-Verifies the conformity of data entered on invoices, purchase orders, delivery notes and other such documents.
-Prepares and carries out requisitions.
-Monitors and updates maintenance work lists.
-Completes, prepares and tracks attendance records, travel and other related reports.
-Ensures the updating of the various computer files of the administrative unit.
-Performs filing and photocopying of various administrative documents.
-Ensures the transmission of documents to be given to contractors or external stakeholders.
-Prepares reports related to the follow-up of purchase orders.
-Ensures the distribution of maintenance work as required.
-Proceeds or participates in the closure of work requests when required.
-Carries out the approval, entry and reminder of the invoicing of contractors.
-Opens and monitors claims files.
-Processes invoices in the financial system.
-Ensures, when required, the performance of any related activity that he or she is reasonably able to perform.
Required skills and experience:
– 3 years of experience in a similar position, in administrative support
– Very good French language skills and good knowledge of the English language
– Good knowledge of mathematics
– Experience working with office tools
– Knowledge of accounting rules as well as the issues of maintaining a residential building
