We’re looking for an enthusiastic and collaborative Film Centre Coordinator to join our team to help us tell Calgary’s story as a great place to work, invest and live.
Job Summary
This position supports the Calgary Film Centre, including but not limited to: administration, finance, operational and facility support, and providing assistance to Film Centre related business development projects.
The Film Centre Coordinator reports to the Director, Operations and works closely with both the Film Centre Specialist as well as with the broader Creative Industries team.
Key Responsibilities:
Provide secured access to the Calgary Film Centre for tenant staff; receive and direct calls for tenants and visitors.
Support tours for potential new tenants, clients and contacts, providing marketing materials as required.
Assist in the tracking and reporting of all utilities, cleaning, security, and other services to facilitate in timely charge back to tenants.
Assist in tracking key dates for significant contract milestones including head lease renewals or extensions, building conditions assessment or similar.
Report on key metrics for the Calgary Film Centre including identifying any issues with vendor compliance/deficiencies and financial reports.
Assist with procurement processes relating to obtaining vendor quotes, qualification of work, delivery of services and warranties/guarantees.
Maintain files and records related to inventory, office furniture and equipment, equipment manuals, warranty documents, lease documents, and other files.
Support in the preparation of pitches/business case examples for the Creative Industries Team.
Support document preparation for Board of Director meetings.
Support emergency after hours contact rotation for building and tenant urgent issues. This will involve being on-call 24/7 for a week on a rotating basis.

Qualifications
Education:
Post secondary education in Business, Accounting or Marketing.
Experience:
Minimum of 2 to 3 years of experience in a similar role.
Knowledge of bookkeeping or basic accounting would be beneficial.
Note * An equivalent combination of education and experience may be considered.
Key Competencies:
Experience managing logistics and coordinating multiple concurrent initiatives in a fast paced environment.
Sound relationship-building skills and demonstrated ability to work cooperatively with internal team members, external clients and vendors.
Effective communication, conflict resolution and problem-solving skills.
Demonstrated ability to establish priorities for own workload based upon need for immediate action, work objectives and schedules requiring independent judgement.
Proficient with Microsoft Office applications, especially Excel and PPT. Experience with CRM and QuickBooks or other accounting software would also be an asset.
Ability to create and analyze reports and spreadsheets, and knowledgeable in invoicing, accounts receivable and payable, and vendor management.
Unique Working Conditions
An economy isn’t always built between 9 to 5. This position may require long and/or irregular hours including being on call 24/7 for a 1 week rotation. The successful candidate works effectively within a team environment and maintains composure when under pressure. The successful candidate must be able to balance and prioritize demands for information from a variety of sources, both internal and external, and deal effectively with confidential information.
