How You’ll Help Us Better Serve Our Clients
Clark Wilson LLP seeks a self-motivated, highly engaged, dynamic Operations Coordinator. This role is critical to supporting our COO, Managing partner and the management team running strong with their exceptional service and enthusiasm to deliver on the firm’s strategy.
In this role, you will be expected to perform various administrative functions and projects, seeing them through to completion. This role will provide you with the opportunity to gain experience and grow within a collaborative team.

What You’ll Be Doing
Every day will bring new and exciting opportunities to learn and grow, but below are some of the regular tasks you can expect to work on:
- Ability to discretely handle sensitive and highly confidential information for Executive(s);
- Proactively provide a high level of administrative support in a variety of settings;
- Communicate and interact with internal and external business partners and professionally;
- Coordinate virtual and in-person meetings & small events (internal and external); liaise with designated teams for larger events; manage travel; and independently manage multiple calendars;
- Create and format documents, presentations, and reports using various Microsoft tools;
- Troubleshoot with confidence and perform well under pressure;
- Managing and e-file documents, such as reports, meeting notes, emails, and letters;
- Recording and management of meeting minutes: note-taking, filing and distribution;
- Coordinate, oversee and report on multiple projects throughout the firm and move them forward through to completion including meeting action items;
- Ability to make informed, practical administrative decisions when working without supervision;
- Conduct research and create reports on various topics based on the needs of the management team; and
- general administrative duties as required.
How You’ll Be a Great Fit For This Role
This is an ideal position for a person with exceptional analytical skills, and the ability to manage collections with initiative and drive. The following qualifications are also required:
- You are an administrative professional with at least 3-5 years of experience in an administrative or business experience in a fast-paced professional services environment supporting executives;
- strong technical skills, including knowledge of Microsoft PowerPoint, Word, Excel, Outlook, and Adobe;
- excellent verbal and written communications skills;
- excellent organizational skills and attention to detail;
- the ability to prioritize a high volume of tasks and competing priorities;
- a client-centred approach with the commitment to providing outstanding service;
- the ability to follow instructions and adhere to strict deadlines;
- dedicated to providing service beyond expectations; and
- the ability to exercise sound judgment, discretion, confidentiality and adapt to changing demands.
