Job Description :
The Human Resources Coordinator is a key member of the HR department. He/She is responsible for providing HR frontline support to Cogeco’s employees mainly in the areas of employee benefits and programs, reporting, processing of Workday transactions and employee orientation. This role has a strong liaison with the Payroll, Benefits and Compensation centre of excellence.
This position is on a hybrid working model (50/50 office & home).
RESPONSIBILITIES:
Responds to all general HR inquiries from the business and is the first point of contact in HR for all employees.
Advises managers and employees on employee programs and company policies/practices to ensure fair and consistent implementation, application, and uniformity within the business.
Processes transactions in Workday as the general workflow requires it; Supports recruitment in completing offer letters.
In partnership with the HR Business Partners for the Ontario Region, coordinates, administers, and monitors all leaves of absence including but not limited to disability (STD/LTD), maternity/parental, and personal leaves.
Maintains, administers and/or coordinates various employee programs including but not limited to: Employee Share Purchase Program, Computer Purchase Plan, and Educational Assistant Plan
Responsible for administration of the group benefits plan in Ontario including enrolments, terminations, and changes. Enters all benefits information into the Desjardins system and Oracle to ensure accurate processing of benefits and billing.
Responsible for the administration of the Group Pension Plan for Ontario including enrolments, terminations and changes. Liaises with employees and provider to respond to pension plan inquiries.
Provides approval for Courtesy Accounts new hire setup and address changes.
Coordinates with the Payroll department on a regular basis to ensure timely processing of payroll. Prepares related reports and resolves payroll and Workday discrepancies; and escalates as required.
Required to complete annual part time eligibility pension reviews, process any eligible employees including preparing enrolment packages, updating HRMS and Sun Life.
Responsible for audit and legal requests including preparation of files and documentation.
Conducts weekly HR orientation for all new hires. Responsible for orientation revisions as necessary.
Responsible for processing and documenting invoices, coding and confirming approvals related to all purchases within the HR department. Maintains and updates departmental expenses and PO’s in Workday. Ensures PCard purchases are received and paid in accordance with company policy. Coordinates with Accounts Payable department to ensure timely processing of payments to vendors.
Support the Manager of Health, Safety and Wellness in the day to day Heath and safety activities including assisting in coordinating ergonomic assessments for Ontario employees. Completes reporting, ordering, and distribution of any required materials or equipment.
Other duties as assigned.

ACADEMIC TRAINING:
College Certificate or Diploma in Human Resources Management is required or a combination of relevant education and experience.
WORK EXPERIENCE:
Minimum 3 years’ experience in an administrative capacity and multi support function.
Experience and knowledge of group benefits and payroll and general HR knowledge is an asset.
SPECIFIC COMPETENCIES:
Solid interpersonal skills with a winning customer service attitude and professionalism.
Experience with HRIS required (Workday a strong asset)
Experience with systems for benefits administration required
Experience with the Google Suite (gmail, gsheets, slides, gdocs) is an asset.
Ability to compile data into logical reports and briefings.
Strong report writing skills and using ad hoc and standard reporting tools.
Strong verbal and written communication skills to compile and prepare data into logical reports and recommendations for internal and external use.
Detail oriented (accurate and thorough) with solid organizational skills.
Open to change, with a learning attitude towards work and teams. Streamlines processes and promotes quality work.
Exercises judgment and uses discretion with highly confidential materials.
