We are looking to hire a Customer Service Specialist in our Burford terminal. It is the responsibility of this role to work closely with dispatch and customers to schedule backhauls for our fleet to minimize empty miles and maximize the utilization of our equipment. This role will also help our fleet stay compliant to U.S./Canada transportation, regulations, and company policies.
Specific Duties
· Update customer information in the customer service database/AS400 to ensure we have up to date and accurate information
· Order entry by ensuring all orders are put into the system as customers email/fax them and all pertinent information is in the notes of that order for dispatch
· Assist with the booking of backhauls by working closely with customer service specialist, dispatch and customers to help minimize empty miles
· Setup tank washes for backhauls based on customer requirements and location of driver to ensure they have the time to wash and get to the customer for the reload
· Making sure customer requirements i.e., specific wash preps, equipment, timelines are being met when accepting
· Raise any customer/compliance issues that can’t be resolved to management so proper action can be taken to get the issues rectified
· Follow communication procedures, guidelines and policies
· Resolve customer complaints/questions via phone, or email
· Capture logistical analytics as requested on a monthly/annual basis
· Be the champion for any compliant forms/reports that need to be completed
· Communicating with the fleet to ensure they are getting their services/annuals done and paperwork being submitted
· Support the fleet by assisting with any Peoplenet issues to find a resolution or reach out to the correct contact if the issue needs to be escalated
· After hours phone calls as needed
Education/Experience
· Grade 12 required, post-secondary education in business or logistics an asset.
· TMS experience/AS400 system or equivalent
· Intermediate experience in Microsoft Word and Excel
· 2-5 year’s customer service or related field
· Understanding of basic transportation regulation both in U.S. and Canada i.e. weight restrictions, hours of service.
