Responsibilities:
Duties and Responsibilities
- Research, develop and maintain policy, procedure, and process documents across the stages of an employee’s life cycle, as directed.
- Write or assist in the development of job postings and job descriptions.
- Establish recruiting requirements by studying organization plans and objectives, and meeting with managers to discuss needs.
- Maintain and build applicant sources by researching and interacting with community services, universities, employment agencies, recruiters, internet sites and conducting job fairs.
- Monitor and share relevant career fair opportunities with hiring managers, handle bookings, prep those attending with materials and information, and debrief with attendees.
- Assist with the development of department reports (track HR, company or external data and produce reports).
- Conduct daily maintenance of Applicant Tracking system: approving jobs, reviewing new applicants for qualifications, and answering ATS related emails.
- Market jobs postings on external sites (Craigslist, LinkedIn, etc.).
- Conduct phone screens and reference checks, and participate in interviews as required.
- Submit requests for compliance and clearances (drug testing, personality profiles).
- Conduct first-day orientation with new employees and coordinate bi-monthly/quarterly group orientation sessions.
- Troubleshoot bugs on the HR systems and follow through to resolve them.
- Develop training on various HR software programs and related resources.
- Provide HR-system user support to candidates and hiring managers.
- Avoid legal challenges by understanding current legislation; enforcing regulations with managers; recommending new procedures; conducting training.
- Assist with development and implementation of new initiatives (mentoring programs, language exchange).
- Plan and execute training and information events (lunch and learns).
- Assist with safety cases (reporting and follow up) and with bullying and harassment investigations.
- Track and follow through on HR-related cases.
- Cover Reception as needed and assist with other departments to manage events or administrative duties.
- Perform other duties as assigned.
Main skills required:
Required or Strongly Preferred Skills and Abilities
- Microsoft suite, including Visio and PowerPoint (intermediate level).
- Strong written and verbal and interpersonal communication skills.
- Ability to make decisions and take direction.
- Be highly organized, detail orientated, with a sense of urgency and the ability to multi-task.
- Ability to maintain confidential information and use discretion when disclosing information.
- A high level of technical savvy is required.
- The ability to maintain a high level of internal and external customer service.
Experience required:
Minimum Qualifications and Experience
- Bachelor’s degree or diploma from a post-secondary institution, preferably in business with an emphasis on human resources or equivalent education and experience.
- 2 – 3 years’ experience in HR or Office Administration.
- Knowledge of/experience with the following systems and skills is preferred:
- Applicant Tracking Systems (ATS)
- WordPress
- Human Resources Information Systems (HRIS)
