Job Description
WHAT’S THE JOB?
The Student, Document Control will oversee all aspects of filing, archiving and retrieval of documents pertaining to our policies, health and safety documentation, instructional materials, training records, quality control documents and maintenance records, as well as any other stored records as required. In this role, you will work with management, staff and clients to ensure that all documentation is appropriately managed and retrieved as necessary and is stored in accordance with any relevant standards or regulations.
This is a student co-op role that will start in May 2023, for a work term of up to 6 months.
Your work will include:

Prepare document control procedures

Implement and manage project document control and document management processes and systems.

Manage the document and sample archives to ensure compliance with requirements and written procedures

Recommend actions and strategies in order to improve the management of controlled documents and archived data

Create new job numbers and job profiles as they become present.

Ensure that the document management system is well understood and that controlled document production and review is understood and given priority at all levels within the organization

Develop filing error tracking system

Index and maintain hardcopy information

Arrange and attend executive team meetings; take, distribute, and archive meeting minutes and/or diaries

Ensure that files are up-to-date, and that obsolete versions of controlled documents are removed and archived

Ensures documents are proofread and adhere to format, content and style guidelines giving consideration to usability, consistency and quality

Qualifications
WHO ARE WE LOOKING FOR?
-
Current student in related Diploma, Degree, or Masters program
-
Experience in Administration is an asset
-
Intermediate to Advanced knowledge of all MS Office Suite of software, with focus on Excel & Word
-
Proficient in Adobe Products
-
Knowledge of Engineering terminology, technical drawings and documentation is an asset
-
Due to the location of our Plant north of the Kamloops City Centre, a vehicle is required in order to commute from most areas of Kamloops.
