IMMEDIATE OPENNING: Medical Office Administrator (MOA)
3 weekdays per week, typically 8:00AM – 5:00PM
THE ROLE:
This position provides administrative support and is primarily responsible for coordinating client projects with a focus on Eisan’s occupational health services at the Eisan clinic and at client sites. These projects are typically run on an annual basis and require detailed planning of medical services, staff scheduling and booking staff travel. This position also supports the administrative needs of the occupational health clinic and Occupational Health Manager position and is the back-up for the Medical Office Administrator, including some clinic reception duties.
RESPONSIBILITIES:
· Receive and project plan any client field requests including health fairs, periodic health assessment programs, including employee travel (booking hotel, car rental if required).
· Plan/organize weekly internal staff meeting.
· Coordinate staff and vendors for project assignments.
· Assist with scheduling of staff on projects assigned by the lead or manager.
· Ensure scheduling/booking and compliance for vendors responsible to summarize anything related to vendors for vendor management purposes.
· Administer and lead the Eisan Health, Safety & Environment (HSE) program in house which includes maintaining the company HSE program and manual, scheduling meetings quarterly, participate in advancing the safety culture at Eisan, and complete safety related orientations for Eisan staff.
· Ensure platform compliance for all client HSE platforms such as SAP, Avetta & ISN.
· Ensure user set up/access and updates to Cority data management system.
· Occasional coverage for Medical Office Assistant.
· Clinic inventory/ordering.
· Monthly tracking and ordering of client site medical supplies and medications.
· Assist with equipment management – managing storeroom, packing equipment for field work, ensuring equipment is serviced/calibrated as per manufacturer specifications.
· Staff training/compliance management/tracking – WHIMIS, CPR, etc.
· Support Occupational Health Manager and Lead with preparation of quotes.
· Annual influenza clinic coordination. This role is the primary contact for inquiries, bookings, and client management.
· Other projects as assigned.

You have experience in an administrative role and look forward to working in a medical clinic environment. While you’re excellent at managing your own time and comfortable completing assigned tasks, you’re aware there is a bigger team that you are part of at Eisan, and you’re there to pitch in if others on the team need help.
REQUIRED QUALIFICATIONS:
· Diploma or Certificate in Office Administration, or equivalent education or experience
· Excellent communications skills by phone, email, and in person
· Excellent computer skills and high comfort with technology
· Knowledge of medical terminology an asset
· Prior experience with Netcare, Med Access, and Cority preferred
