Under the direction of the Office Manager, the Receptionist/Office Assistant operates a multi-line telephone system to answer incoming calls; directs callers and customers to appropriate personnel and completes a variety of administrative duties.
Essential Responsibilities:
• Front line for office visitors and the recording and distribution of visitor/security badges.
• Receive and forward calls from customers and dealers to applicable departments.
• Receive incoming courier packages, document weigh bills, and distribute contents to relevant departments.
• Responsible for outgoing courier packages as needed.
• Arrange deliveries as necessary.
• Ensure the reception area is always clean.
• Responsible for ordering supplies and the upkeep and cleanliness of the supply room.
• Preparation of outgoing marketing material as requested by field staff.
• Set up & clean up of the boardroom before and after meetings (coffee, water, edibles).
• Other duties as assigned.
Qualifications:
• Highschool Diploma.
• Minimum 2 years experience in a Reception role, preferably in the insurance or banking industry.
• Fluent in both English and French with proven skills in verbal and written communication.
• Intermediate skill with Microsoft Office (Word/Excel).
• Keyboarding 65+ words per minute.
