About the Role:
The Geneva Centre is seeking a self-motivated, client-focused individual who is comfortable working in a reception area that can be busy and very noisy throughout the day. In fact, the successful candidate thrives on the energy of working on-site with regular interruptions. The Front Desk and Operations Assistant is responsible for providing day-to-day client service to GCA staff and clients. From reception duties to supporting the Operations team, the client and employee experience will be top of mind. In this dynamic role, you will wear many hats to ensure that the agency’s business operations run smoothly by maintaining and coordinating the front desk, general administration, facilities support and programming assistance. This role will also require access to confidential and/or sensitive material for which they are entrusted to ensure all matters and or items are dealt with appropriately.
What you will do:
As the first point of contact and face of the GCA, you will provide support and customer service across all departments to include but not limited to:
•Providing exceptional customer service to clients and staff at front-desk reception, including greeting and welcoming clients, staff, volunteers, and visitors; ensuring all parties sign in/out
•Effectively and efficiently receiving, troubleshooting and triaging emails, calls and inquiries to the appropriate contact or department
•Receiving and/or coordinating deliveries/mail with the Operations Team
•Monitoring, maintaining and ordering inventory and/or supplies as needed
•Working closely with Facilities Supervisor and Coordinator to ensure a safe workplace
•Supporting HR in onboarding new staff to include site/office tours, meet and greet and mentoring
•Acting as a back up to the Supervisor, Facilities and Operations for access cards maintenance and/or tasks
•Contacting 3rd party vendors to coordinate service calls and when required, escorts contractors to office/site location
•Providing support to the EA/Operations Assistant when required
Works closely with the Programs teams by providing administrative and client service support to include but not limited to:
•Greeting clients entering the facility and inform the program staff of the client’s arrival
•Efficiently maintaining, answering and forwarding all emails received in the [email protected] mailbox
•Coordinating and/or setting up meetings (and logistics) as required
What to you bring:
•Completion of college diploma in a relevant area and a minimum of 1 years related work experience as an office administrator or receptionist
•Ability to deal with competing priorities and manage time/tasks effectively
•Self-starter that takes initiative and is able to work with a high degree of independence utilizing tack and good judgement
•Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint, Access and MS Outlook)
•Excellent organizational and time management skills
•Courteous and personable manner with exceptional communication skills
•Superior problem solving and judgement skills
•Excellent teamwork and interpersonal skills
•Knowledge of Autism, PDD and other developmental disorders an asset
•Knowledge of Facilities and Operations an asset
•Satisfactory current Vulnerable Sector Check and Criminal Records Check
•Proof of full vaccination against COVID-19
